About The Role
As a Workplace Services & Facilities Specialist, you will help create a safe, functional, professional, and welcoming environment for coworkers and visitors in our Boston office. You will coordinate daily facilities operations, workplace services, mail and shipping activities, amenities, inventory, vendors, and workplace events. You will also provide hands-on operational support and help identify and resolve issues before they affect coworkers or business operations.
What You'll Brew
- Coordinate day-to-day facilities and workplace services operations, monitor workplace conditions, troubleshoot issues, manage maintenance work orders, and escalate specialized repairs when needed.
- Coordinate and oversee vendors supporting building maintenance, janitorial services, life safety systems, office equipment, refrigeration, draft systems, and other workplace services; review routine invoices and service documentation.
- Maintain conference rooms, common areas, kitchens, coworker amenities, workplace signage, and display areas; coordinate room setups, space configurations, furniture moves, and workplace improvement projects.
- Support workplace events by coordinating logistics, setup, execution, and operational needs.
- Manage daily mailroom, shipping, receiving, freight, carrier pickup, package distribution, pallet delivery, copy center, and off-site document storage activities using United States Postal Service, United Parcel Service, and FedEx systems.
- Manage office, kitchen, shipping, safety, training kitchen, and workplace supply inventories; coordinate purchasing and replenishment, analyze usage trends, organize storage areas, and unload incoming product and beverage deliveries.
- Maintain coffee, tea, cold brew, beverage, paper product, utensil, Bevi, draft gas, and cooler supplies in Sammy’s kitchen areas.
- Provide reception coverage as needed, welcome visitors and service providers, respond to coworker inquiries, and monitor workplace service requests through service management platforms.
- Maintain facility records, service schedules, vendor documentation, preventative maintenance calendars, operational procedures, metrics, and reporting; recommend improvements that increase efficiency and cost effectiveness.
- Support workplace health, safety, security, ergonomic, accommodation, and emergency-response activities; perform light maintenance and troubleshooting and serve as an after-hours emergency contact when assigned.
What Ingredients You'll Bring
Minimum Qualifications
- Working knowledge of facilities and building systems, including heating, ventilation, and air conditioning, electrical, plumbing, life safety systems, and office equipment.
- Ability to troubleshoot facilities-related issues and perform light maintenance, including patch and paint repairs, light carpentry, basic heating, ventilation, and air conditioning troubleshooting, basic electrical troubleshooting, and water filter replacement.
- Ability to coordinate vendors, maintenance activities, service schedules, workplace projects, and operational documentation.
- Ability to manage mail, shipping, receiving, freight, supplies, purchasing, storage, and inventory activities.
- Ability to use shipping systems and workplace service management platforms, including Freshworks or similar platforms.
- Customer service, communication, collaboration, organization, and problem-solving skills.
- Ability to organize, receive, stock, unload, and move workplace supplies, packages, beverages, products, and pallet shipments.
- Ability to provide reception coverage and support workplace events, emergencies, and occasional after-hours operational needs.
Level: 9
Salaried
At the Boston Beer Company and in accordance with pay transparency laws, we are open about our salary ranges. For this role, the salary range is between $41,000 and $85,000. However, it's important to note that where the person hired starts in this range is dependent on their related experience, skillset and location. Additionally, this position qualifies for a discretionary annual bonus based on company and individual performance, and certain sales roles might include a car allowance.
