Job Description

Position Purpose summary

The Christmas Kettle Campaign Assistant Coordinator is responsible for organizing the logistics at their assigned kettle hub, including the coordination of the recruitment, scheduling and management of Kettle volunteers. They provide support to the Kettle Coordinator, Community Engagement Manager, and other members of the London Community Services management team on a temporary basis during the Christmas season.

Key Responsibilities

  • Assists with the coordination of the London Christmas Kettle Campaign, with a specific focus on the kettle locations associated with their assigned kettle hub.
  • Assists in the onboarding, training, scheduling, and guidance of kettle volunteers.
  • Ensures volunteers have the required training/certification for their specific role.
  • In conjunction with the Coordinators and Manager, fosters and maintains positive working relationships with kettle sites and volunteers, addressing conflicts/issues as they arise or directing to Kettle Coordinator or designate.
  • Refers all requests for interviews by the media to the Executive Director
  • Answers phones and responds to volunteer/donor/kettle site inquiries as required.
  • Provides support to volunteers with navigation of the kettle database (Salesforce).
  • Responsible for scheduling kettle volunteers utilizing the kettle database (Salesforce) and responds to emergency absences, etc.; ensuring Coordinator is made aware of any concerns related to vacant shifts.
  • Completes daily shift reminder emails and phone calls for volunteers as well as regular email blasts regarding shifts that are still available.
  • Assists in the coordination of the delivery and pick-up of kettles to/from sites daily, ensuring the security of donations.
  • Ensures kettle locations are kept well-stocked with supplies (i.e. literature, etc.)
  • May be required to deliver and pick-up kettles or supplies to/from sites and provide troubleshooting of Tiptap machines.
  • Hosts at kettle, as required, to ensure necessary coverage for breaks, etc.
  • May be required to assist with the counting and depositing of donations.
  • Supports other aspects of the London Community Services Christmas programming if needed (i.e. Santa Shuffle, Christmas Assistance Program).
  • Performs other position related duties as required.

WORKING CONDITIONS

  • This is a temporary seasonal position.
  • The working environment is typically in the office or at kettle locations in generally agreeable conditions.
  • Local travel is associated with this position, including driving at night and in inclement winter weather.
  • Required to wear appropriate Salvation Army identification and/or brand wear.
  • Ability to lift/move up to 20lbs. (11.34kg).

Normal office hours of operation

  • Normally working 40 hours per week.
  • Christmas Kettle Campaign hours of operation are normally 9:30 a.m. to 9:00 p.m. Monday through Saturday.
  • Shifts may include days, afternoons, evenings, weekend shifts, and split shifts, Monday through Saturday. Applicable shifts include a ½ hour paid meal break.
  • Flexibility in scheduling is required, as the hours may increase as per operational requirements.
  • The Supervisor will set the hours of work and work schedule.

Education, Qualifications and Certifications

  • Completed Secondary School.
  • Valid Ontario Class “G” Driver’s License, personal vehicle required and insurance, current copy of driver’s abstract for review and verification that is satisfactory to The Salvation Army, in its sole discretion, is required.

Experience and Skilled Knowledge Requirements

  • Minimum of one (1) year of prior related experience would be a definite asset.
  • Previous volunteer supervisory experience would be an asset.
  • Good working knowledge of Excel and other Microsoft Suite products.
  • Experience with Salesforce Volunteer Management Software would be an asset.

  • Ability to lift/move 9 to 12 kgs (20 – 25 lbs.)
  • Participate in mandatory orientation training and ongoing professional development.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
  • Treat the property of The Salvation Army with due care and caution.
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
  • Ability & willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check screening.

Compensation

The target hiring range for this position is $17.60 to $21.84 with a maximum of $26.20. Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
