Your future team
As a Senior HR Administrator you will be a part of the HR Admin team of 4 who successfully support the HR Admin agenda within ROCKWOOL Global Business Service Center.
HR Team in ROCKWOOL Global Business Service Center is responsible for various areas starting from recruitment, administration as well as HR Business Partnering - supporting employees in 2 locations Poznan & Warsaw.
What you will be doing
We are looking for an experienced Senior HR Administrator who will take ownership of HR Administration processes within the ROCKWOOL Global Business Service Center. In this role, you will contribute to process improvements, take part in international projects , support business needs, and help shape efficient HR solutions in an international environment.
Responsibilities
- Independently performing HR Administration tasks and managing HR processes throughout the employee life cycle (onboarding, during employment, offboarding)
- Acting as the first point of contact for employees and internal stakeholders regarding HR Administration queries, ensuring a positive employee experience
- Coordinating and maintaining HR documentation related to employment processes, ensuring compliance and accuracy of records
- Preparing and overseeing all necessary HR input for payroll calculation and cooperating with external payroll provider
- Administering employee benefits (private healthcare, cafeteria, pension plans, insurance, etc.) and ensuring high-quality benefits management
- Maintaining HR systems and ensuring high-quality data hygiene in internal HR systems, including preparing HR administration statistics, reports and analyses
- Supporting and ensuring compliance processes from both documentation and system perspectives
- Managing communication and cooperation with internal stakeholders and external HR service providers (e.g. payroll, insurance, legal, T&A)
- Driving and coordinating improvement initiatives within the HR Admin processes, focusing on efficiency and continuous improvement
- Taking part in and leading additional HR projects supporting ROCKWOOL business needs
- Independently resolving complex HR Administration matters related to internal clients and business requirements, including making appropriate business decisions
- Sharing knowledge, coaching more junior colleagues and conducting HR Administration trainings
- Acting as a role model for ROCKWOOL values and actively contributing to team engagement and development
- Continuously developing knowledge of labour law regulations and HR Administration practices
What you bring
- 5+ years of experience in HR Administration, with proven ability to independently manage HR processes and handle employee-related matters; experience at a senior level will be considered an advantage
- Solid experience with modern HR processes across the employee lifecycle (onboarding, employment administration, offboarding)
- Experience taking ownership of HR processes and independently handling complex employee-related matters
- Proven experience in improving HR processes, driving efficiency initiatives and contributing to continuous improvement activities
- University degree in Human Resources, Business Administration, Sociology or another people-related field is an advantage
- Sound knowledge of Polish labour law and HR administration practices
- Experience working with HR systems - knowledge of Workday is a strong plus
- Experience cooperating with payroll providers, external HR vendors and internal stakeholders
- Fluency in English (minimum C1 level) and excellent communication skills
- Ability to handle confidential information with discretion and professionalism
- Strong attention to detail, excellent organizational skills and ability to manage multiple priorities
- A proactive, solution-oriented approach with the ability to independently resolve HR Administration matters
- Ability and willingness to share knowledge, support colleagues and contribute to team development
