About the Role

We are looking for a Quality Coordinator to join World Courier in Lainate, Milan, Italy. In this role, you will help ensure that local transport operations are aligned with World Courier quality standards, internal procedures, and applicable regulatory requirements.

Working closely with local teams, management, suppliers, and regional and global quality stakeholders, you will play an important part in maintaining and improving the local Quality Management System. Salary: €50,000 - €56,000 per year

Key Responsibilities

  • Support the implementation, maintenance, and continuous improvement of the local Quality Management System (QMS).
  • Act as a key local contact for quality and compliance matters, supporting the Country Manager and wider local team.
  • Ensure transport quality topics are represented in local and global meetings, projects, and initiatives.
  • Organize and support management review meetings in line with applicable SOPs.
  • Manage and support the supplier qualification and evaluation process, including approvals, performance monitoring, audits, and corrective actions.
  • Review and support the negotiation of Quality Agreements and Confidentiality Disclosure Agreements (CDAs/NDAs).
  • Coordinate internal audits, external audits, inspections, and certification audits, acting as the main local quality contact and ensuring timely follow-up on findings and action plans.
  • Review and manage quality incidents, deviations, investigations, root cause analysis, and CAPA activities, escalating issues where appropriate.
  • Support the effective handling of relevant customer complaints in accordance with internal procedures.
  • Participate in risk management and change control processes, including communication with clients when required.
  • Ensure pest control, cleaning programs, and other site quality processes are implemented and documented appropriately.
  • Provide support for technical quality activities, including change controls, calibration, maintenance, qualification, validation, and temperature review processes where applicable.
  • Maintain accurate and up-to-date quality documentation, including SOPs, work instructions, audit records, and related quality records.
  • Support the review and maintenance of local SOPs and work instructions to ensure alignment with service, quality, and regulatory requirements.
  • Use quality systems and tools such as MasterControl, SharePoint, and other applicable platforms to manage records, actions, and workflow requirements.
  • Support self-inspections, quality checks, and compliance monitoring activities.
  • Help ensure compliance with local regulations, GDP, ISO standards, relevant GxP requirements, customer expectations, and company policies.
  • Support the maintenance of licenses and regulatory documentation to ensure local compliance.
  • Coordinate and monitor quality training activities, including training matrices, local job codes, and training compliance.
  • Identify opportunities for process improvement and support continuous improvement initiatives.
  • Participate in client meetings and contribute to enhancing customer satisfaction and service quality.
  • Carry out additional quality responsibilities as required in support of local, regional, or global quality objectives.

Skills and Experience

  • Experience in a quality-related role within logistics, pharmaceuticals, healthcare, or another regulated environment is preferred.
  • Good understanding of quality systems, compliance requirements, and regulated operations.
  • Knowledge of or exposure to GDP, GxP, ISO standards, and local regulatory requirements would be advantageous.
  • Proficient English is essential.
  • Italian language skills are preferred, or a willingness to learn Italian.
  • Strong communication skills, with the ability to engage effectively with internal teams, clients, suppliers, and external stakeholders.
  • Strong interpersonal skills and the ability to build positive working relationships across all levels of the business.
  • High standards of integrity, accountability, and attention to detail.
  • Well-organized, able to manage multiple priorities, and comfortable working to deadlines.
  • Self-motivated, proactive, and able to work independently as well as collaboratively within a team.
  • Good awareness of customer needs and business priorities.
  • Strong Microsoft Office skills, particularly in Excel, Word, and PowerPoint.
  • Experience using systems such as MasterControl and SharePoint would be beneficial.
