Job Description

The Talent Acquisition Specialist plays a critical role in delivering an exceptional experience for candidates, hiring managers, and recruiters across North America. Supporting a team of Talent Acquisition professionals, this position serves as the operational backbone of the recruiting function, leading interview coordination, recruiting technology administration, process optimization, and operational excellence initiatives.

This role is ideal for a highly organized, proactive professional who thrives in a fast-paced environment, embraces technology, and is eager to take ownership beyond traditional coordination responsibilities. As the primary administrator for the organization's interview scheduling platform, you will have the opportunity to influence recruiting processes, leverage emerging technologies including AI-enabled tools, and expand your impact across Talent Acquisition operations based on your interests, capabilities, and performance.

What You'll Do

  • Coordinate and schedule interviews across multiple time zones, business functions, and seniority levels while ensuring a seamless candidate and hiring manager experience.
  • Serve as the primary administrator, subject matter expert, and continuous improvement lead for the interview scheduling platform.
  • Support and administer recruiting operations within Workday and other talent acquisition technologies.
  • Process, reconcile, and track recruiting vendor invoices while assisting with vendor management activities.
  • Develop and maintain recruiting process documentation, user guides, training materials, and operational best practices.
  • Identify opportunities to streamline workflows, eliminate manual effort, and improve operational efficiency through technology and automation.
  • Leverage AI-enabled tools and emerging technologies to enhance productivity, reporting, communication, and the overall recruiting experience.
  • Take on additional responsibilities and ownership opportunities commensurate with demonstrated capability, initiative, and business needs.

What We're Looking For

  • 5+ years of experience in recruiting coordination, talent acquisition operations, HR operations, recruiting administration, or a related function.
  • Experience with Workday Recruiting or similar Applicant Tracking Systems preferred.
  • Strong experience working with interview scheduling, recruiting technologies, and operational processes.
  • Experience managing invoices, vendor relationships, or payment administration activities.
  • Exceptional organizational skills with the ability to prioritize competing demands and manage multiple deadlines effectively.
  • Experience leveraging workflow automation and recruiting tech stacks strongly preferred.
  • Strong attention to detail and a commitment to delivering a high-quality customer experience.
  • Advanced proficiency with Microsoft Outlook, Teams, Excel, and other productivity tools.
  • Demonstrated technical aptitude and a willingness to learn and adopt new technologies.
  • Familiarity with AI-powered workplace tools, automation platforms, or productivity technologies preferred.
  • Ability to work independently, anticipate needs, and identify opportunities to improve outcomes before issues arise.

What Will Set You Apart

  • Experience supporting talent acquisition teams in a high-volume or complex recruiting environment.
  • Experience implementing or optimizing recruiting technologies and workflows.
  • Knowledge of automation, reporting, data analysis, or AI-enabled productivity tools.
  • Hands-on experience building automated workflows (e.g. Power Automate, Zapier, AI assistants) and translating recruiting data into operational insights.
  • A desire to grow into broader Talent Acquisition Operations, Recruiting Technology, or Process Excellence responsibilities over time.
