About The Role

Executive Assistant – Vice President, Worldwide Customer Service Organization (WW CSO)

At Agilent, we empower our people to drive meaningful impact through innovation, collaboration, and operational excellence. We are seeking a highly capable, proactive, and business-minded Executive Assistant (EA) to support the Vice President, Worldwide Customer Service Organization (WW CSO).

The EA serves as a trusted partner to the VP, helping translate priorities into action, protecting executive focus, and ensuring effective coordination and follow-through across the global organization. This role requires strong judgment, exceptional organizational skills, executive presence, and the ability to anticipate needs and operate with a high degree of independence.

The successful candidate will thrive in a fast-paced, highly matrixed global environment and will be comfortable working across functions, cultures, organizational levels, and time zones.

This is a hybrid role based in Santa Clara, CA. Regular onsite presence is strongly preferred, with at least three days per week in the office, while maintaining flexibility based on business needs and individual circumstances. This position will require both domestic and international travel approximately four times annually.

Key Responsibilities

Executive & Calendar Management

  • Manage a highly complex, multi-time-zone executive calendar, ensuring alignment with strategic priorities, leadership commitments, and customer-facing activities.
  • Proactively anticipate scheduling conflicts, shifting priorities, critical deadlines, and preparation needs to optimize executive effectiveness.
  • Coordinate leadership cadences, executive reviews, customer engagements, and cross-functional meetings across global stakeholders.
  • Ensure the VP is appropriately prepared for meetings and engagements, including agendas, briefing materials, presentations, and relevant background information.
  • Track key decisions, commitments, and action items and help ensure timely follow-through.

Travel, Meetings & Events

  • Coordinate complex domestic and international travel, including flights, accommodations, visas, ground transportation, and itinerary management.
  • Manage and reconcile travel and expense reports accurately and in accordance with company policies.
  • Coordinate global leadership meetings, town halls, offsites, customer events, and other executive engagements.
  • Partner with internal and external stakeholders to ensure effective logistics and a high-quality experience.

Communication & Stakeholder Management

  • Serve as a trusted and professional point of contact for senior executives, customers, employees, vendors, and external partners.
  • Build strong relationships across global teams, functions, and the executive assistant network.
  • Support executive and organizational communications, including preparation and coordination of leadership messages, presentations, and internal communication materials.
  • Partner with Corporate Communications and other functions to support consistent and aligned messaging.
  • Handle highly sensitive and confidential information with discretion and sound judgment.

Leadership Team & Organizational Support

  • Support the effectiveness and operating rhythm of the WW CSO leadership team, including leadership meetings, business reviews, planning activities, and key organizational milestones.
  • Maintain key organizational information, including org charts, distribution lists, leadership materials, and other business-critical resources.
  • Support onboarding and integration of new leadership team members and other key hires.
  • Coordinate procurement activities, purchase orders, vendor setup, and related administrative processes as needed.

Business Operations & Special Projects

  • Support selected strategic and cross-functional initiatives on behalf of the VP and leadership team.
  • Track key deliverables, milestones, dependencies, and deadlines across priority initiatives.
  • Support planning and visibility related to headcount, budgets, operational metrics, and leadership priorities.
  • Identify opportunities to simplify processes, improve workflows, and increase organizational effectiveness.
  • Leverage AI, automation, and digital tools to improve executive productivity, reporting, communication, and operational efficiency.

Qualifications

  • Bachelor’s degree preferred or equivalent relevant work experience.
  • 5+ years of experience supporting VP-level, C-suite, or equivalent senior executives, preferably in a global, matrixed organization.
  • Must possess a valid current U.S. passport and be able to travel domestically and internationally as required.
  • Experience in life sciences, diagnostics, technology, services, or other customer-centric industries preferred.
  • Advanced proficiency with the Microsoft 365 ecosystem, including Outlook, PowerPoint, Excel, Word, Teams, SharePoint, and Copilot or comparable AI-enabled productivity tools.
  • Demonstrated ability to manage complex calendars, competing priorities, high-volume workflows, and confidential matters with exceptional accuracy and attention to detail.
  • Strong business judgment, critical thinking, problem-solving skills, and demonstrated professionalism.
  • Proven ability to anticipate needs, work independently, and take appropriate action with limited direction.
  • Strong track record of building trusted relationships and working effectively with senior leaders and diverse global stakeholders.
  • Excellent written and verbal communication skills.

Additional Details

The full-time equivalent pay range for this position is $46.62 - $72.84/hr plus eligibility for bonus, stock and benefits. Our pay ranges are determined by role, level, and location. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
