Job summary
As a Fund Controller Expense Oversight Associate in Product Administration Team, you will oversee key fund administration activities delivered by external service providers and help ensure strong governance, accurate reporting, and timely issue escalation. You will collaborate with internal partners and vendors to support operational excellence across a range of pooled investment vehicles.
Job responsibilities
- Oversee day-to-day fund oversight activities performed by external service providers and confirm service standards are consistently met.
- Review and validate fund expense accruals, disclosures, and governance reporting for accuracy and completeness.
- Validate contractual and non-contractual fees, invoices, approvals, and allocation support in line with documented agreements and controls.
- Review budgets, reimbursements, year-end balances, and trustee-related expense support, escalating exceptions as needed.
- Lead vendor due diligence activities, maintain service-level documentation, and produce scorecards and governance materials.
- Drive vendor governance meetings, manage change requests, and coordinate remediation for net asset value or service issues.
- Monitor securities lending oversight indicators (e.g., collateral levels, breaches, pricing exceptions, failed trades, and negative loans) and escalate per process.
- Coordinate periodic recertifications, service organization control reviews (SOC 1), contract administration, and onboarding support for new funds.
- Manage production cycles for shareholder and regulatory documents, including validation of postings and required crosswalks where applicable.
- Partner with internal stakeholders (e.g., risk, legal, compliance, product, client service) to identify control gaps, improve processes, and strengthen oversight reporting.
Required qualifications, capabilities and skills
- Minimum 5 years of relevant experience in fund services, including exposure to income and expense reporting, fund accounting, and regulatory reporting.
- Working knowledge of registered investment products and pooled vehicles, such as mutual funds, exchange-traded funds, collective investment vehicles, and private funds (including Section 3(c)(7) structures).
- Knowledge of applicable accounting and regulatory frameworks (e.g., United States GAAP, IFRS, Regulation S-X, Investment Company Act of 1940, and liquidity-related requirements).
- Understanding of core fund concepts including net asset value, custody, transaction costs, valuation considerations, and fund taxation concepts (where applicable).
- Understanding of financial products, including complex instruments and capital markets concepts relevant to fund operations.
- Proficiency in Microsoft Office tools (Outlook, Excel, Word, and PowerPoint).
- Demonstrated ability to produce clear oversight and governance reporting, including accurate data collection and aggregation.
- Demonstrated problem-solving skills and attention to detail, with the ability to assess issues from multiple perspectives and execute effectively.
- Ability to operate effectively in a fast-paced environment, manage multiple priorities, and collaborate across teams and vendors.
Preferred qualifications, capabilities and skills
- Professional certification such as Certified Public Accountant
- Experience with vendor scorecards, service-level documentation, and formal governance routines for fund administrators.
- Experience using automation tools (e.g., Alteryx, Python) and applying artificial intelligence and large language models to streamline reporting or control evidence production.
- Experience supporting funds across multiple jurisdictions and share class structures.
- Developing experience using AI-powered analytics, workflow automation, or intelligent process tools to drive efficiency gains, reduce manual effort, or improve accuracy in operational processes
