Job summary
As a Fund oversight and reporting specialist in the Product Administration team, you will oversee day-to-day fund administration services delivered by external vendors to support a broad range of pooled investment vehicles. You will coordinate reporting cycles, strengthen controls, and help ensure accurate and timely financial and regulatory reporting. You will partner closely with stakeholders across investment, risk, legal, compliance, product development, and client service. You will also identify opportunities to streamline and automate oversight and reporting activities.
Job responsibilities
- Oversee external fund administration vendors to ensure agreed service levels, controls, and quality standards are consistently met
- Coordinate financial reporting cycles, including disclosures, control procedures, and administrative deliverables supporting governance and certification processes
- Partner with vendors and auditors to plan, execute, and track audit activities and requests through completion
- Review fund financial statements and support internal and external audit inquiries with timely, well-documented responses
- Coordinate and review fund regulatory filings (for example: N-PORT, N-CEN, N-CSR, and related forms) for completeness, accuracy, and timeliness
- Prepare governance materials (including minutes and oversight summaries) for presentation to fund governance forums
- Conduct ongoing vendor oversight, including participation in vendor oversight forums and documenting outcomes, issues, and action items
- Identify, escalate, and track operational, reporting, or control issues through appropriate stakeholders until resolution
- Maintain clear oversight documentation, evidence, and procedures to support control and governance expectations
- Collaborate with global counterparts to ensure consistent oversight practices and effective handoffs across time zones
- Drive process improvements, including automation opportunities, to streamline reporting, oversight, and control evidence production
Required qualifications, capabilities and skills
- 5 years of experience in fund services, fund administration oversight, financial reporting, fund accounting, and/or regulatory reporting for pooled investment vehicles
- Experience supporting registered funds and/or private fund structures (for example: mutual funds, exchange-traded funds, interval funds, collective investment funds, private partnerships, or Section 3(c)(7) funds)
- Working knowledge of investment fund reporting requirements and governance processes, including audit coordination and financial statement review
- Knowledge of applicable accounting and reporting frameworks such as US GAAP and/or IFRS, and familiarity with relevant regulatory reporting expectations
- Understanding of core fund concepts such as net asset value, custody, transaction activity, valuation considerations, and (where applicable) fund taxation concepts
- Ability to evaluate operational and reporting risks and translate them into practical oversight checks and control evidence
- Experience collaborating cross-functionally with legal, compliance, risk, product, and client-facing stakeholders
- Proficiency with Microsoft Office tools (Outlook, Excel, Word, and PowerPoint)
- Experience improving processes through automation, data transformation, and/or scripting in a controlled environment
- Strong written and verbal communication skills, including the ability to produce clear, concise documentation for governance audiences
- Strong analytical and problem-solving skills with high attention to detail and the ability to manage multiple priorities in a fast-paced environment
Preferred qualifications, capabilities and skills
- Professional certification such as Certified Public Accountant (CPA)
- Hands-on experience with US registered fund regulatory filings and related disclosure requirements (for example: N-PORT, N-CEN, N-CSR, and similar filings)
- Experience overseeing vendors supporting complex fund structures and instruments (including over-the-counter intensive strategies)
- Familiarity with US Investment Company Act of 1940 and related reporting requirements
- Experience supporting funds across multiple domiciles and/or multi-jurisdiction operating models
- Experience using workflow and analytics tools (for example: Alteryx, Xceptor) and/or Python for oversight and reporting automation
- Developing experience using AI-powered analytics, workflow automation, or intelligent process tools to drive efficiency gains, reduce manual effort, or improve accuracy in operational processes
