Job Description
The Communications & Engagement Programs Specialist supports divisional operations through the coordination and execution of employee engagement initiatives, internal communications, and operational programs. This role develops employee-facing content and resources, manages program logistics, and supports initiatives that strengthen organizational culture and operational consistency across the division.
Working collaboratively with divisional leadership and cross-functional partners, the Communications & Engagement Programs Specialist supports employee engagement, communication, and program coordination efforts that enhance the employee experience and strengthen alignment across the division. The role helps maintain internal communication resources, supports onboarding and engagement activities, coordinates operational program logistics, and contributes to reporting and documentation that support divisional initiatives.
The Communications & Engagement Programs Specialist serves as an operational support resource for employee-facing communications, engagement initiatives, and divisional programs. Through strong organization, clear communication, content development, and cross-functional collaboration, this role helps support a positive employee experience, promote divisional consistency, and contribute to effective execution of operational and engagement priorities.
Salary: 49,084-51,538 (depending on qualifications)

Employee Engagement & Development
Coordinates and supports onboarding, engagement, professional development, and organizational health initiatives that contribute to a positive employee experience and strengthen team connection across the division. Assists with gathering and reviewing employee engagement information and feedback to support recommendations for program improvements and organizational health initiatives.
Program Coordination
Coordinates day-to-day operational functions related to divisional programs and initiatives, including scheduling, logistics, tracking deliverables, and maintaining documentation. Collaborates across teams to support timely, organized, and consistent execution of divisional priorities and program activities.
Internal Communications
Drafts, edits, coordinates, and distributes internal communications, including announcements, newsletters, updates, and employee-facing messaging. Helps ensure communications are clear, timely, and aligned with divisional standards, tone, and priorities.
Content Development & Resource Management
Develops, organizes, and maintains employee-facing resources, toolkits, guides, program materials, and operational reference documents that support divisional initiatives and organizational consistency. Ensures resources remain current, accessible, and aligned with divisional practices and employee needs.
Reporting & Tracking
Maintains organized records, tracks initiative progress, and supports reporting and documentation needs across divisional programs and engagement efforts. Assists with data collection, organization, and reporting activities that help inform program decisions and continuous improvement efforts.
Cross-Functional Support
Collaborates with departments and teams across the institution, including Human Resources and Creative Services, to support divisional programs, communication efforts, organizational initiatives, and continuous improvement activities. Helps coordinate information, resources, and follow-up needed to support shared goals and effective execution.
Protocol & Standards Support
Assists in the review, maintenance, and development of divisional and departmental protocols, procedures, and operational documentation. Helps ensure materials remain current and aligned with divisional practices, compliance expectations, and strategic priorities.
Divisional Representation & Brand Support
Represents the External Relations division in internal and cross-functional settings by supporting communication, engagement, and operational initiatives that reflect divisional standards and expectations. Serves as a visible advocate for divisional culture, values, and employee experience efforts.
Education & Experience
Minimum Qualifications
Associate's degree or some college coursework in Communications, Business, Organizational Leadership, Human Resources, Higher Education Administration, Marketing, or a related field.
Two years of experience in program coordination, administrative support, employee engagement, communications, or related operational support functions.
One year of experience coordinating projects, maintaining operational resources, or supporting organizational initiatives in a collaborative environment.
Experience producing written communications, coordinating employee-facing materials, or supporting internal communications activities.
Experience using administrative platforms, project management tools, spreadsheets, or standard business technology to support operational functions.
Ability to maintain organized records, documentation, and filing systems in alignment with institutional standards.
Preferred Qualifications
Bachelor's degree in Communications, Business, Organizational Leadership, Human Resources, Higher Education Administration, Marketing, or a related field.
Three years of experience in program coordination, administrative support, employee engagement, communications, or related operational support functions.
Two years of experience coordinating projects, maintaining operational resources, or supporting organizational initiatives in a collaborative environment.
Experience supporting employee engagement, onboarding, internal communications, or organizational culture initiatives.
Relevant experience may be considered in lieu of a degree, except in cases where a specific degree is required to meet accreditation standards, licensure requirements, or other legislative or regulatory obligations. This includes, but is not limited to, certain faculty positions and staff roles governed by state or federal educational mandates.

Full-time, FLSA-exempt position.
Periodic in-state travel to campuses or meetings beyond the employee's designated or nearest base campus may be required based on business needs and will comply with TSTC and State of Texas requirements.
Position requires sustained attention to employee communications, operational documentation, and program-related information requiring accuracy, organization, and appropriate handling.
