About the Role
We are seeking an experienced Document Controller / Project Coordinator to support the successful delivery of building technology and engineering projects. Working closely with Project Managers, engineers, customers, and vendors, you will play a critical role in maintaining accurate project documentation, ensuring compliance, and supporting project execution from start to completion.
This role is ideal for someone with previous experience in construction, engineering, building services, industrial, OEM, EPC, or project-based environments who thrives in a fast-paced setting and enjoys being at the centre of project delivery.
Key Responsibilities
Document Control
- Manage project documentation in accordance with JCI and client requirements.
- Maintain document control processes, including document registration, distribution, revision control, tracking, and archiving.
- Ensure accurate version control, document registers, transmittals, and compliance with project procedures.
- Coordinate document submissions and information flow between project teams, clients, subcontractors, and suppliers.
- Prepare project handover documentation, including O&M manuals and project dossiers.
- Maintain and administer document management platforms such as SharePoint, Aconex, TeamBinder, or similar systems.
Project Coordination
- Support Project Managers with tracking project deliverables, milestones, and documentation schedules.
- Coordinate document reviews, approvals, and stakeholder feedback processes.
- Manage vendor documentation requirements and proactively follow up outstanding submissions.
- Assist with project reporting, KPI tracking, and maintaining accurate project records.
- Contribute to continuous improvement initiatives that enhance project efficiency and compliance.
About You
To be successful in this role, you will bring
- Proven experience in Document Control, Project Administration, or Project Coordination within engineering, construction, building services, industrial, OEM, or EPC environments.
- Strong knowledge of document control principles, revision management, and transmittal processes.
- Experience using document management systems such as Aconex, SharePoint, TeamBinder, Procore, or equivalent platforms.
- The ability to manage large volumes of technical documentation with a high level of accuracy and attention to detail.
- Strong Microsoft Office skills, particularly Excel.
- Excellent organisational, communication, and stakeholder engagement skills.
- A proactive, solutions-focused approach and the ability to manage competing priorities in a deadline-driven environment.
