Job Description

The Coordinator, Therapy Services works directly with insurance companies, therapy providers, and patients in order to have optimal patient care, including patient scheduling and intake, while meeting compliance standards to maximize claim processing and payment.

Key Responsibilities

  • Tracks patients to determine continued and appropriate insurance eligibility and benefit period
  • Reviews pre-authorization intake information to identify potential resource costs, and communicate findings to therapy care team;
  • Verify patient’s current insurance to ensure continuity of coverage
  • Identifies opportunities to enhance reimbursement
  • Maintains an accurate list of all therapy evaluations and assessments for the correct reference dates throughout patients care, to ensure the accurate and timely submission of the required re- assessments
  • Collaborates with RIC to confirm signed plans of care
  • Track therapy authorization times and keep staff aware of pending recertification requirements, facilitating any payor specific requests for information
  • Facilitates the process associated with intake activity such as order entry, establishment of correct encounter
  • Monitors the order queue to ensure timely and correct scheduling of orders per service line and therapist availability
  • Provides education to the interdisciplinary team as appropriate;
  • Instructs staff in terminology, language, and format that is required by specific payors
  • Communicates with Director of Rehab, interdisciplinary team and Revenue Cycle team regarding any changes in regulations
  • Trains backup personnel
  • Maintains all reports and transmission data in a systematic format and stores in a safe, locked area, keeping information confidential in accordance with HIPAA
  • Implements all required forms, procedures and processes relative to job responsibilities
  • As appropriate, open communication related to the work environment is maintained with the department Director/other department co-workers and excessive socialization unrelated to the work environment is minimized as verified by direct management observation and feedback received from both internal/external employees

Required Qualifications

  • High School Diploma/GED
  • Experience using a computer keyboard, data processing, information systems and word processing
  • Excellent organizational and communication skills

Preferred Qualifications

  • 1 year of rehabilitation services
  • 1 year of MS Office applications


Compensation is determined based on years of relevant experience and departmental equity.
