Based in London, the Library Assistant will be responsible for a broad range of administrative and operational tasks that support the daily function of the department. The role works closely with the RIM Global team to support the operational needs of the UK and APAC offices.

The RIM Department provides research assistance to the Firm’s attorneys and business services teams and oversees all research related subscriptions and online research resources; therefore, the candidate must be very flexible and highly committed to quality, customer service, teamwork and supporting Firm and department goals in a fast-paced environment.

This role reports to the Research Manager.

Responsibilities include

  • Assists with the Attorney Book Allowance process, including entering data in the firm’s book allowance database.
  • Responds to New Client Profiles, acquisition requests and relevant research request intake via Quest.
  • Assists with testing and adoption of new resources, including GenAI research tools, as directed by RIM leadership.
  • Assists with new joiner & departure processes, including license and user access maintenance and requests.
  • Assists with cataloguing and managing Looseleaf filing.
  • Processes invoices for the department.
  • Collaborates with the US Library Assistant on administrative and operational tasks to ensure seamless departmental workflow.
  • Performs other tasks and duties as needed to support the global RIM Department.

Qualifications

  • Must have strong organizational skills with ability to handle multiple tasks simultaneously.
  • Must be self-motivated and be willing to take the initiative to complete tasks accurately and in a timely manner.
  • Excellent attention to detail and the ability to work harmoniously with others.
  • Effective oral and written communication skills, along with strong customer service skills.
  • Strong knowledge of Microsoft Word, Excel, and Outlook.
  • Familiarity with request management platforms like Quest.

Experience

  • A minimum of 2 years of general office experience is required, with prior experience in a law firm preferred.
  • Candidates with a combination of education and relevant work experience that demonstrate the required skills and knowledge will be considered.
