About the Role

We are seeking a highly experienced and proactive Executive Assistant to directly support the CEO of an Australian business.

This is a high-performance, client-facing role that requires strong communication skills, excellent organisation, and the ability to operate independently. You will act as the CEO's right hand—managing priorities, communication, and execution at a high level.

Key Responsibilities

  • Manage the CEO's inbox end-to-end, including drafting, responding, and prioritising emails
  • Handle inbound and outbound calls with clients, stakeholders, and internal teams
  • Manage the CEO's calendar, meetings, appointments, and daily priorities
  • Coordinate meetings, agendas, action items, and follow-ups
  • Prepare reports, summaries, presentations, and executive-level documents
  • Track tasks across multiple priorities and ensure deadlines are met
  • Act as a gatekeeper to protect the CEO's time and remove inefficiencies
  • Maintain confidentiality across all CEO-related matters

Requirements

  • 5–10 years of experience supporting Western executives, ideally from Australia, the US, or the UK
  • Near-perfect written and spoken English
  • Strong phone presence with excellent communication and professionalism
  • Proven ability to work independently and make decisions confidently
  • Highly organised with excellent attention to detail
  • Fast, responsive, and execution-focused
  • Experience working in fast-paced or high-performance environments

Systems & Tools

Microsoft Office (Outlook, Excel, Word) – Essential

Google Workspace

  • CRM systems such as HubSpot or Salesforce
  • VoIP and communication tools such as Zoom or Microsoft Teams
