Position Summary

The ImmunityBio Event Manager will be responsible for planning, executing, and managing all aspects of medical and marketing events for the company, including conferences, symposia, educational programs, and speakers’ bureau, ensuring compliance with industry regulations while achieving strategic objectives and promoting the company's brand image to healthcare professionals.

Essential Functions

  • Develop comprehensive event plans aligned with marketing goals, product positioning, and regulatory compliance guidelines.
  • Work with the commercial sales team to identify target audiences, select appropriate event formats (in-person, virtual, hybrid), and determine venue locations.
  • Manage event budgets, including vendor negotiations and cost control.
  • Coordinate all logistical aspects of events, including booth design and set up, catering, AV equipment, registration, transportation, and on-site staffing.
  • Oversee event setup and breakdown, ensuring compliance with venue requirements and safety protocols.
  • Manage speaker recruitment, presentations, and speaker rehearsals.
  • Manage contract review process, HCP agreements, vendor setup, Purchase Requests and Purchase Orders, and work with accounting to ensure vendors and speakers are paid in a timely fashion.
  • Develop event marketing materials, including invitations, website content, promotional emails, and social media campaigns.
  • Manage pre-event communications with attendees, speakers, and vendors.
  • Coordinate post-event follow-up activities, such as attendee surveys and data analysis.
  • Ensure all events adhere to pharmaceutical industry regulations regarding marketing practices, disclosure statements, and healthcare professional interactions.
  • Monitor and manage compliance risks associated with event planning and execution.
  • Collaborate with cross-functional teams including sales, marketing, medical affairs, and legal to align event objectives with company strategy.
  • Build relationships with key healthcare professionals, thought leaders, and industry associations.
  • Performs ad-hoc and cross-functional duties and/or projects assigned to support business needs and provide developmental opportunities.

Education & Experience

  • High School Diploma with 9+ years of progressive experience in event planning and execution required; or
  • Bachelor's degree in marketing, event management, or a related field with 5+ years of progressive experience in event planning and execution required
  • 2+ years of event management experience within the pharmaceutical industry required

Knowledge, Skills, & Abilities

  • Strong understanding of pharmaceutical marketing regulations and compliance guidelines.
  • Excellent project management skills, including budgeting, timeline management, and risk assessment.
  • Exceptional communication and interpersonal skills to interact with diverse stakeholders.
  • Proficiency in event management software and digital marketing tools, i.e. Jira, Concur, Dynamics 365, Monday.com.
  • Ability to self-direct projects and work with little supervision.
  • Demonstrated ability to manage multiple projects at the same time (e.g., event logistics, booth management company, event-related advertising etc.)
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to be flexible and effectively adapt to changing priorities in a fast-paced environment

Working Environment / Physical Environment

  • This position will work remotely.
  • Must reside within approximately 30 minutes of a major airport.
  • Travel 60%-70% of the time is required.
  • Regular work schedule is Monday – Friday, within standard business hours. Flexibility is available with manager approval.
  • Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer.
  • Lift and carry materials weighing up to 20 pounds.

This position is eligible for a discretionary bonus and equity award. The annual base pay range for this position is below. The specific rate will depend on the successful candidate’s qualifications, prior experience as well as geographic location.

National Market (all markets unless identified as Premium)

$103,000 (entry-level qualifications) to $113,300 (highly experienced) annually

Premium Market (Premium markets include Los Angeles, San Diego, San Francisco, New York City, Chicago, & Boston)

$115,000 (entry-level qualifications) to $126,500 (highly experienced) annually
