The PMO & Continuous Improvement Manager is responsible for driving disciplined execution of strategic initiatives and fostering a culture of continuous improvement across the organization.
This role will lead the governance and execution of key cross-functional projects, ensuring alignment with business priorities, clear accountability, effective resource allocation, and timely delivery of expected outcomes. In parallel, the position will identify and lead opportunities to simplify, standardize, and optimize processes, improving organizational efficiency, productivity, and overall business performance.
Working closely with Commercial, Marketing, Medical Affairs, Regulatory Affairs, Supply Chain, Quality, Finance, Manufacturing, and other enabling functions, the PMO & Continuous Improvement Manager will act as a key connector across the organization, translating strategic priorities into structured execution plans and ensuring sustainable implementation
Key responsibilities for this role include
Project Management Office (PMO)
- Lead the governance and execution of a portfolio of strategic projects and cross-functional business initiatives.
- Translate strategic priorities into clear project plans, including objectives, scope, milestones, timelines, resources, dependencies, and expected outcomes.
- Establish and maintain project governance frameworks, routines, tools, and standards to ensure consistency and execution discipline.
- Monitor project progress, timelines, budgets, risks, dependencies, and deliverables, proactively identifying deviations and defining corrective actions.
- Establish clear accountability across project teams and ensure appropriate follow-up on commitments and action plans.
- Facilitate project governance meetings, executive steering committees, and cross-functional business reviews.
- Develop and maintain dashboards, KPIs, project scorecards, and executive-level reporting to provide visibility on portfolio performance.
- Ensure timely escalation of critical risks, issues, and decisions requiring senior leadership attention.
- Support prioritization of initiatives and resource allocation based on strategic relevance, business impact, urgency, and organizational capacity
Continuous Improvement & Operational Excellence
- Identify and lead opportunities to simplify, standardize, automate, and optimize business processes across the organization.
- Lead continuous improvement initiatives using Lean, Six Sigma, Kaizen, or other relevant methodologies and tools.
- Assess end-to-end processes to identify inefficiencies, bottlenecks, duplication, unnecessary complexity, and opportunities for productivity improvement.
- Partner with functional teams to redesign processes and implement practical and sustainable solutions.
- Define measurable improvement targets and establish KPIs to monitor effectiveness and sustainability of implemented solutions.
- Promote standardization and adoption of best practices across functions and markets where applicable.
- Foster a continuous improvement mindset by challenging existing ways of working and encouraging teams to identify opportunities to work more effectively and efficiently.
- Support the identification and implementation of digitalization and automation opportunities that improve productivity and execution.
Strategic Execution & Business Performance
- Translate organizational priorities and strategic objectives into actionable programs, initiatives, and projects.
- Ensure strategic initiatives are connected to measurable business outcomes, including growth, productivity, profitability, compliance, and operational effectiveness.
- Track financial and operational impact of key initiatives and provide visibility to leadership on progress against expected outcomes.
- Partner with business and functional leaders to identify execution gaps and establish corrective action plans.
- Support transformation initiatives and new ways of working, ensuring appropriate governance from design through implementation.
- Provide fact-based insights and recommendations to support prioritization and decision-making.
Cross-Functional Leadership & Stakeholder Management
- Coordinate complex initiatives involving multiple functions, including Commercial, Marketing, Medical Affairs, Regulatory Affairs, Supply Chain, Manufacturing, Quality, Finance, IT, and other relevant stakeholders.
- Build strong relationships across functions and organizational levels to enable effective collaboration and execution.
- Ensure alignment on objectives, roles, responsibilities, timelines, dependencies, and expected outcomes.
- Facilitate decision-making and proactively address roadblocks that may impact project delivery.
- Influence stakeholders without direct authority and create accountability across cross-functional teams.
- Act as a neutral facilitator when required, helping teams navigate competing priorities and reach effective business decisions
Risk & Change Management
- Proactively identify, assess, monitor, and mitigate project, operational, and organizational risks.
- Establish appropriate risk management, escalation, and contingency mechanisms for strategic initiatives.
- Integrate change management principles into transformation and continuous improvement initiatives.
- Develop stakeholder engagement, communication, and adoption plans to support successful implementation of new processes, systems, and ways of working.
- Monitor adoption and sustainability following implementation and define corrective actions when required.
What you’ll bring for this role
- Bachelor's degree in Business Administration, Engineering, Pharmacy, Life Sciences, Industrial Engineering, or a related field.
- MBA or other relevant advanced degree preferred.
- Project Management certification such as PMP or equivalent is preferred.
- Lean Six Sigma Green Belt, Black Belt, or equivalent Continuous Improvement certification is preferred.
- Relevant experience in Project Management, PMO, Continuous Improvement, Operational Excellence, Business Transformation, Strategy Execution, or related areas.
- Experience within the pharmaceutical, healthcare, medical device, life sciences, or other highly regulated industry strongly preferred.
- Demonstrated experience managing complex, cross-functional projects involving multiple senior stakeholders.
- Strong understanding of business processes and the interdependencies between commercial and enabling functions.
- Experience developing project governance models, performance dashboards, KPIs, and executive-level reporting.
- Proven ability to translate strategy into structured execution and measurable outcomes.
- Experience leading organizational change and process transformation initiatives.
- Strong analytical capabilities and ability to use data to identify opportunities, evaluate alternatives, and support decision-making.
- Strong financial and business acumen, with the ability to assess the business impact and value creation potential of initiatives.
