The Assistant Manager, Outbound Services, will drive process improvement and digital enablement for the administration of student overseas programmes. The role will review end-to-end workflows, translate operational needs into system requirements, coordinate enhancements to the SP Overseas Programme system module and related platforms, conduct data validation and user acceptance testing, and support implementation and user adoption. Working with Academic Schools, Departments and relevant stakeholders, the candidate will also oversee selected outbound operational processes to ensure that they are efficient, accurate, user-centred and compliant with requirements.

[What you will be working on]

  • Review and redesign end-to-end overseas programme workflows to address pain points and control gaps, and introduce opportunities for simplification, automation and self-service.
  • Translate operational needs into functional requirements, coordinate system enhancements with colleagues in IT, and oversee user acceptance testing and implementation.
  • Maintain operational documentation, monitor compliance, conduct user training and support the adoption of new processes and systems.
  • Improve data quality and develop dashboards and reports to support operational monitoring and management decision-making.
  • Oversee selected overseas programme processes, including trip submissions, insurance, funding, procurement, stakeholder enquiries and exception management.

[What we are looking for]

  • Relevant diploma or degree in Information Technology, Information Systems, Computer Science or a related discipline; relevant professional certifications would be advantageous.
  • 2 – 4 years of relevant experience in business analysis, systems implementation, digital transformation, process improvement, project management or operations, preferably in the public sector.
  • Strong process-mapping and business-analysis skills, with experience in requirements gathering, system enhancements, user acceptance testing and implementation.
  • Proficiency in digital tools, data analysis and reporting; familiarity with Microsoft 365, Power BI and low-code automation tools would be advantageous.
  • Strong project-management, stakeholder-engagement, communication and documentation skills, with an analytical, detail-oriented and service-focused approach.
