The HKUST Business School has been recognized as a premier education center for international business and management education. The HKUST MBA Program Office is searching for a capable and self-motivated individual to fill the role of Assistant Manager. Reporting to the Senior Manager of MBA Career Services and Corporate Relations, the appointee will provide career advice to MBA students and be responsible for particular areas of operations for the team, including but not limited to the following key areas:

  • Provide Career Advice to MBA Students : As the team is dedicated to drive MBA job placements, the job holder will provide career advice to MBA students coming from a wide range of geographical and industry backgrounds, through regular 1-to-1 meetings or group communications; and add value to career services by providing practical guidance to students for understanding job market trends, identifying opportunities and supporting their interview preparation.
  • Job Matching for MBA Students : The job holder will work with other career advisors as a team to review each students’ career interest and latest job search situation. Providing insights and customizing approach to support each MBA student and matching them with relevant job opportunities is an important part of the role.
  • Support CPD in Career Training Development : The job holder will gather up-to-date MBA job market trends and support CPD in developing a holistic view for continuously improving career training programs that can enhance students’ employability. Additionally, they will lead the end-to-end logistics for all career training workshops and events, coordinating venue booking, technical setups, material preparation, and post-event feedback collection.
  • Career Activities : As the CPD team organizes a high number of career activities, including recruitment talks, industry executive sharing, virtual career events, career workshops, and key events like Career Fair and Overseas Career Treks, the job holder will be involved in planning and communications with speakers and students to ensure students take full advantage of these events.
  • Manage Vendor Accounts & Operations : Manage the end-to-end administration of the department’s extensive portfolio of external vendors and service providers. This includes overseeing the seamless onboarding and setup of new vendor accounts, resolving system or service troubleshooting issues, and maintaining accurate procurement records. Additionally, coordinate closely with internal finance teams to ensure timely invoice processing, contract compliance, and efficient budget tracking for all vendor services.
  • Coordinate Coaching Panel Administration : Administer the operations and engagement of our external professional coaching panel to ensure high-quality service delivery. Take ownership of the annual contract renewal process, facilitate timely payment structures, and manage the scheduling logistics for student coaching sessions. Act as the central point of contact to gather and deliver performance feedback, maintaining strong professional relationships with coaches while upholding program standards.
  • Administrative, Reporting & CV Book Management : The job holder will support the team in preparing presentations, conducting data analysis and compiling reports. Additionally, they will own the end-to-end production of the annual CV Books, coordinating the collection, formatting, and quality control of student resumes to deliver a polished, employer-ready talent directory.
  • Ad-hoc Tasks : The job holder should demonstrate flexibility and willingness to support ad-hoc projects or administrative tasks according to seasonal team needs.

Applicants should have a bachelor’s degree with at least 4 years of work experience, ideally from a Recruitment, Human Resources, Corporate Learning & Development or relevant background. Passion in developing long term corporate relationships is a plus. The ideal candidate should have a proactive work attitude and demonstrate sense of ownership. Being in a team that handle a large number of stakeholders in a fast-paced environment, self-confidence, interpersonal skills and sense of urgency will be important for success. Ability to deal with ambiguous situation, willingness to find solution actively and curiosity are also essential. A good command of written and spoken English and Chinese, and proficiency in Microsoft Office application are required (Able to use Excel Pivot table and create statistical dashboard is a plus). Fringe benefits include staff shuttle bus, annual leave, special leave, medical and dental benefits, and education allowance. A gratuity will be payable upon successful completion of contract.
