About The Role
To act as a liaison between the Clinical Laboratory and all hospital and non-hospital sites submitting laboratory specimens.
Performs all duties of a HLT I processor and assists in non- supervisory duties as assigned. Such as assisting with taking inventory of supplies, working on problem specimens, monitoring workflow, training new employees, maintaining communication between outpatient HLT staff and all Clinical laboratory sections, assists in accessioning localization studies, cancels and credits sample as needed, fills out specimen mislabeling form and follows up with nursing unit or doctor’s offices. Problem solving and assisting or covering in answering staff questions. Monitor and troubleshoot equipment issue and open Service ticket. Monitor DPL order not received pending logs. Review Metafile errors.

Key Responsibilities
40 Yes Task: Resolve problems associated with the Central Processing section to include
- Managing specimen orders.
- Improperly labeled or questionable specimens.
- Verifying accuracy of manual physician orders (such as for non-UCSF outpatients).
- Managing issues with body fluid specimens.
- Cancelling and crediting specimens.
- Contacting physician providers and clinicians regarding ordering or specimen issues.
- Monitor specimens received in Central Processing and ensure that their priority and transport to the performing sections within the required time.
- Monitoring daily missing collected, but un-received pending log.
- Resolve TUG issues and open service ticket to vendor as needed.
- Manage Sample Transport logs.
25 Yes Task: Processing Specimens
Performs all the functions of a HLT 1 when needed. These duties include and not limit to
- Routine and STAT specimen receiving.
- Routine and STAT specimen labeling.
- Routine and STAT specimen aliquoting.
- Send Out testing processing.

Task: Inventory Management
- Performs inventory of supplies at predetermined intervals. Maintain the minimum
level of product.
- Order supplies in online PMM requisitioning system. Keep track of supplies
received. Notify supervisor of back-orders or delays.
- Receive, inspect, unpack, and log in supplies accurately upon arrival. Initial and
date all packing slips.
- Ensure “Refrigerated” and “Frozen” boxes of reagents/supplies are immediately
unpacked and stored accordingly.
- Organize supplies following instructions given.
- Works with vendor to exchange/return defective parts and supplies.
- Follows up with Purchasing Department. on ETA, discrepancy of orders, pricing
issues, credits issued, and return of defective supplies.
- Notify the supervisor of any immediate need and any discrepancy in the material
- or supply received.
- 5 Yes Task: Monitor equipment
- Monitor freezers and refrigerators temperature daily.
- Daily check of centrifuges and follow-up with issues/alarms/ failures.
- Ensure that all equipment temperatures are in acceptable range and open a Service ticket for repairs and notify supervisor of trend or malfunctions.
5 Yes Task: Assist Supervisor in ensuring employees are notified about changes in laboratory procedures including but not exclusive of the following:
- Monthly update of procedure memos.
- Cross-reference lists.
- Doctor codes and budget list.
- Clinical Laboratory on-line monthly changes.
- Telephone and location list.
- Any immediate changes required by lab policies.

Task: Perform manual billing tasks as required, and troubleshoot problems with billing and results from other labs.
- Referral List.
- Manual check all paper requisitions, working the nightly 9999 reports (especially for STATs).
- Daily monitor all manual requisitions for entry errors in a timely manner to prevent billing issues.
- 2 Yes Task: Coordinate external courier service for shipment of samples between Mission Bay, Mt. Zion, Moffitt/Long/ACC and China Basin when needed.
- 3 Yes Task: Perform additional duties, project, and/or special assignments when
- requested.
- Processing localization studies.
- Perform back-entry after downtime crash.
- Contact the referral center to add and/or update physician information.
- Trouble shoot Archiving system.

REQUIRED QUALIFICATIONS
- Graduation from college with coursework in biological sciences, or two years of college with some coursework in natural, physical, or social sciences or equivalent combination of education and experience.
- Two years of experience working in Clinical laboratory- Central Processing.
- Demonstrated knowledge and abilities essential to the successful performance of the duties assigned to the position.
- Demonstrated ability to communicate effectively with physicians, requesting departments, and other staff including ability to clearly explain complex medical information in both verbal and written form.
- Ability to work well under pressure.
- Proficient with PC, Windows, Word, Excel, etc.
- Must have knowledge of a clinical laboratory setting and specimen handling
- Must be able to work independently, to resolve problems, and follow on assignments with minimal direction.
PREFERRED QUALIFICATIONS
- Previous knowledge of and experience in a clinical lab setting, and medical terminology preferred
- Phlebotomy license preferred
