We’re searching for a GM Secretary to provide professional and efficient administrative support to the General Manager, ensuring smooth communication, effective coordination, and timely follow-up across the hotel at Crowne Plaza Kathmandu Pulchowk.
A little taste of your day-to-day
Every day is different, but you’ll mostly be
- ● Providing comprehensive administrative and secretarial support to the General Manager to ensure the smooth and efficient operation of the GM’s office
- ● Managing the General Manager’s calendar, appointments, meetings, calls, and daily schedule, ensuring priorities are organized effectively
- ● Coordinating meetings with Heads of Department, hotel leadership, owners, business partners, guests, and other key stakeholders
- ● Preparing meeting agendas, presentations, reports, minutes, and other documents required by the General Manager
- ● Recording meeting minutes, tracking action points, and following up with relevant departments to ensure timely completion of agreed actions
- ● Managing correspondence, emails, letters, reports, and other communications on behalf of the General Manager with professionalism and accuracy
- ● Maintaining organized and confidential records, files, documents, and information related to the General Manager’s office
- ● Handling sensitive and confidential information with the highest level of discretion and professionalism
- ● Coordinating internal and external appointments, hotel visits, inspections, events, and official engagements involving the General Manager
- ● Liaising with HODs and various hotel departments to collect information, coordinate requests, and ensure timely follow-up on matters assigned by the General Manager
- ● Assisting in the preparation and coordination of leadership meetings, townhalls, management meetings, and other hotel-wide initiatives
- ● Supporting the General Manager with travel arrangements, itineraries, accommodation, transportation, and other logistical requirements when required
- ● Welcoming and assisting important guests, visitors, owners, business partners, and other stakeholders visiting the General Manager’s office
- ● Monitoring pending correspondence, approvals, reports, and action items to ensure important matters receive timely attention
- ● Assisting with special projects, presentations, reports, and administrative assignments as directed by the General Manager
- ● Maintaining a professional, organized, and welcoming environment within the General Manager’s office at all times
What We need from you
- ● Diploma or higher education qualification in Hotel Management, Hospitality, Business Administration, Secretarial Studies, or related field preferred
- ● Minimum 2–4 years of experience in an executive assistant, secretary, administrative, or similar role, preferably within a hotel or hospitality environment
- ● Excellent written and verbal communication skills in English, with strong professional correspondence skills
- ● Strong organizational and time management skills with the ability to manage multiple priorities and deadlines effectively
- ● Excellent attention to detail, follow-up, and coordination skills
- ● High level of discretion, integrity, confidentiality, and professionalism when handling sensitive information
- ● Proficiency in Microsoft Office applications, particularly Word, Excel, PowerPoint, and Outlook
- ● Strong interpersonal skills and confidence in communicating with senior management, colleagues, guests, owners, and external stakeholders
- ● Ability to anticipate requirements, work independently, and take initiative while maintaining close alignment with the General Manager
- ● Ability to remain calm, flexible, and organized in a fast-paced hotel environment where priorities can change quickly
- ● Previous experience supporting a General Manager, Hotel Manager, Executive Committee, or senior leadership team will be an advantage
