Facilities Coordinator duties and responsibilities include oversee cleaning, landscape, pest control, waste disposal, handyman, events management and work closely with the client. The role will oversee the facility’s day-to-day operations and ensure that all administrative functions, soft services issues and facility services are covered. Including continuous improvement in the operational process. Also, part of the role’s mandate is to monitor the facilities infrastructure, vendor’s performance and processes comply with standards. Report to the Facilities Manager. In addition, the role will manage Health and Safety Environment (HSE) standards & requirements for the terminals actively participate in reviewing them. Responsibilities: Operations: • Oversee in-house maintenance team for all daily maintenance issues and conduct daily inspection to ensure quality standards are being maintained. • Monitor submission of service partners’ daily inspection and periodic service reports. • Oversee the planning and executing of the waste, pest control, cleaning and landscaping. • Review service partners’ deployment and duties to optimal use of manpower. • Regular inspection for conformance to service standards and expectation of cleanliness, waste management etc. • Identify, collate and report any building defects. • Monitor the service partners’ schedule and ensure that they carry out their duties accordingly • Coordinate with the vendors for their plan training programme for cleaners, landscapers and pest control. • Coordinate and support events from set up requirements to logistical support including AV set-up, liaise with onsite support team on layout etc. • Other ad-hoc duties as assigned. HSE: • Overall responsible for all HSE and Sustainability programs for Shell Terminals. • Plan and implement the yearly HSE plan and activities, review and update it in regular basis. • Periodically review HSE documents i.e. CHSE, Site Risk Register, Bridging documents, etc. • Manage completion of site and workstation-level risk assessments to identify and prioritize HSE aspects and hazards. • Manage development and maintenance of training processes to ensure that required HSE training is tracked to completion. • Traction on HSE KPI and assurance.
