About The Role

Licensing & Regulatory Associate (Producer Services) Philadelphia, PA

North America Producer Services oversees the full lifecycle of producer licensing and appointments, including new agent onboarding, producer code maintenance, and state-specific appointment fees, to support regulatory compliance and strong collaboration with field teams.

The Licensing & Regulatory Associate will support the development and execution of key compliance activities related to producer management systems.

Key Responsibilities (US, Canada, and combined assignments)

  • Coordinate all aspects of producer appointments, including initiating new appointments, updating producer codes, processing terminations, and facilitating transfers to ensure accurate records and compliance with state regulatory requirements.
  • Maintain internal copies of requests and related documentation using established workflows within applicable document repositories.
  • Process requests and ensure all producer code changes are properly approved.
  • Attend monthly Producer Services Pathway Series (PSPS) training to strengthen understanding of collaboration between field teams and Producer Services.
  • Process requested appointments, updates, and terminations in accordance with departmental workflows, system protocols, and state requirements. Prepare termination letters for applicable individuals or agents.
  • Create records for current producers in internal systems by using state websites for license validation and other required information.
  • Address and resolve identified issues related to state renewal clean-up in accordance with established state criteria and departmental workflows. Escalate issues to the manager daily as they arise and provide timely responses to the regulatory team on the same day issues are resolved.
  • Maintain internal copies of requests and related documentation using document repositories such as eDocs and SharePoint.
  • Resolve errors and implement changes identified during producer code audits.
  • Initiate and ensure contractual documentation, as assigned, in partnership with the Producer Services team.
  • Collaborate with requestors in branch offices to help ensure Chubb’s producers remain compliant with state regulations and internal system requirements.
  • Provide backup coverage for other Licensing and Regulatory specialists during periods of high volume and/or absences.
  • Participate in special projects as needed.

Experience & Education

The ideal candidate is detail-oriented, able to manage multiple priorities in a fast-paced environment, and demonstrates strong communication skills.

  • High school diploma required.
  • 2+ years of proven experience in data entry with a high level of accuracy, attention to detail, and the ability to manage large volumes of data efficiently and effectively.
  • Strong organizational skills and the ability to prioritize tasks.
  • Ability to work independently and collaboratively in a team environment.
  • Excellent written and verbal communication skills with internal and external partners.
  • Ability to leverage internal AI tools to enhance communication effectiveness.
  • Proficiency in Microsoft Office Suite, especially Outlook, Word, and Excel.
