Clarion Partners is seeking an Administrative Assistant to support the New York-based Acquisitions team, various members of the Portfolio Management team.

Key responsibilities include, but are not limited to, the following

  • Coordination of extensive travel arrangements (domestic and international), commercial and private (including car service and detailed agenda preparation), focusing on quality of travel experience as well as cost savings while following the corporate policy.
  • Preparation and management (both e-mail and standard mail) of correspondence and materials including memos, letters, and emails; editing and proofreading documents; scanning, saving and emailing documents in readable format.
  • Coordinate the timely processing and execution of nondisclosure and confidentiality agreements, including managing related workflow.
  • Generate and modify PowerPoint presentations, including for periodic reporting.
  • Excel workbook preparation, verification and data maintenance.
  • Maintain document repository of legal agreements; track, index and file Confidentiality Agreements and third-party financial reporting.
  • Create and maintain accurate files (computerized/paper/desk) and a neat work area conducive to productivity.
  • Monitor acquisition/disposition data rooms and share file sites.
  • Arrange, obtain and distribute documents for signature.
  • Answer, screen and take accurate telephone messages. Promptly and efficiently screen, respond to and direct inquiries in a professional and polite manner.
  • Organize meetings including conference room reservations, AV requirements and catering (for internal and external meetings). Interact with building security and notification systems.
  • Participation in external events as needed (Conference & Event Staffing)
  • Process expense reports through Concur, check requests and corporate credit card statements, and conference and public speaking event requests.
  • Calendar management and scheduling.
  • Backup administrative coverage either as scheduled or on an as needed basis.
  • Other duties and ad-hoc projects assigned.

Qualifications

  • Bachelor’s degree (or similar four-year college degree) highly preferred.
  • A minimum of five years of experience supporting a Senior level executive and team.
  • Ability to exercise independent judgment in actions regarding company matters including identifying, maintaining and directing confidential issues.
  • Ability to handle multiple priorities and to quickly and accurately respond to constantly changing demands from many sources.
  • Excellent time and project management skills; demonstrated planning and organizing skills.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite software (Word, PowerPoint, Excel) and Adobe
  • Ability to work independently and as a team member.
  • Ability to work unpredictable overtime and flexibility in working schedule are required to meet the workflow.
  • Experience overseeing and maintaining team projects, workflows, and processes.
  • Experience in the coordination of shipment, delivery and notifications via Federal Express, UPS, courier, and or the USPS of multiple mailings and shipments.

If based in New York, the base salary range for this position is USD $100,000 - $110,000. Actual base salary offered will be determined by several components including but not limited to the candidate's experience, job-related knowledge, and qualifications. Base salary does not include other forms of compensation or benefits offered in connection with the advertised role. Total compensation may vary based on role, location, and individual performance. For roles located outside of Los Angeles, please disregard the posted salary range as these roles will follow a separate compensation process based on the local market.
