About The Role

Position Description

The Procurement Officer is responsible for carrying out the functions of procurement. The Procurement Officer will work closely with the Admin Assistant to delegate tasks as necessary and ensure progress on those tasks.

Essential Duties

  • Procurement – procedures - e.g. each procurement has supporting RFQ forms and 3 quotations that are stamped and signed by the suppliers.
  • Processing all requests to do with procurement, travel, accommodation and conferences in a timely manner.
  • Ensuring that all the requests prepared are properly checked before being sent to Finance.
  • Clearance of imported goods - timely application for duty free through COE for all imported goods; ensuring that imported items are timely cleared by clearing agent – submitting to them documents as required.
  • Preparation of a procurement tracker to provide feedback to the concerned on their various procurement requests.
  • Ensure that payment requests are raised in time for all items delivered and for the ones to be paid before delivered.
  • Assisting in the selection of suppliers and maintenance of pre- qualified supplier database
  • Document Management
  • Reporting of problems to supervisor - immediate
  • Organization General – office and surrounding

Requirements

  • Bachelor’s degree in Procurement and Supply Chain Management, Business Administration, Logistics, or a related field.
  • Minimum of three (3) years of relevant experience in procurement and supply chain management.
  • Knowledge of procurement policies, procedures, and best practices.
  • Experience in sourcing, evaluating, and negotiating with suppliers.
  • Strong skills in preparing and managing purchase orders, quotations, contracts, and procurement documentation.
  • Good knowledge of inventory and supplier management.
  • Strong negotiation, analytical, organizational, and communication skills.
  • Proficiency in Microsoft Office applications, particularly Excel and Word.
