Business Need / Purpose of Role
We are seeking a Crew Desk Coordinator to join our team, who will be responsible for coordinating all crew logistics to ensure the efficient movement of personnel to and from vessels while maintaining compliance with local immigration and port requirements.
Key Responsibilities
- Coordinate crew arrivals, departures, and repatriations.
- Arrange and issue Letters of Guarantee (LOGs) and Ok-to-Board (OTB) approvals.
- Organize hotel reservations, airport transfers, and all crew transportation logistics.
- Coordinate crew pickups and transfers between airports, hotels, seaports, and vessels.
- Liaise with local immigration authorities and ensure compliance with all immigration, visa, and port entry requirements.
- Maintain effective communication with vessel operators, ship managers, crewing agencies, and external crew management companies.
- Coordinate with airlines, hotels, transport providers, and other service providers to ensure seamless crew movements.
- Monitor crew schedules and respond promptly to operational changes.
- Maintain accurate records and prepare operational reports as required.
- Provide after-hours support and respond to operational emergencies when necessary.
Requirements
- Previous experience in the marine, shipping, or offshore industry in a crew logistics or crew coordination role.
- Sound knowledge of crew change procedures, airport and seaport operations, and local immigration requirements.
- Experience coordinating international crew travel and documentation.
- Strong organizational and multitasking skills with excellent attention to detail.
- Excellent verbal and written communication skills.
- Ability to communicate effectively with foreign principals, clients, vessel operators, and external crew management entities.
- Proficiency in Microsoft Office applications and email correspondence.
- Ability to work independently, prioritize tasks, and perform well under pressure.
- Willingness to work after hours, weekends, and public holidays when operational requirements demand.
Preferred Qualifications
- Experience working with shipping agents, vessel operators, or marine service companies.
- Knowledge of visa processing and international travel documentation.
- Familiarity with crew management systems is an asset.
Education, Qualifications, Certifications, and Licenses
Education/Experience
- High School diploma or GED equivalent required.
- Bachelor’s degree in Maritime Administration, Business Administration, or related major from a public or accredited private academic institution desired.
- 0-4 years’ experience in general maritime industry with exposure to various commodities and vessel types utilized in the port of employment.
