Job Description

The Administrative Assistant is responsible for managing building entry and greeting Head Start families and visitors, answering phone calls, and managing the front desk. Prepares forms and creates/designs flyers for program activities; completes basic data entry. Monitors the flow of paperwork and files. Facilitate communication between staff and between the program and Head Start families. Performs a variety of administrative tasks for the department and division. Must be bilingual in English and Spanish.

Jefferson County Head Start is a comprehensive, no-cost infant/toddler and preschool program serving kids who are 6 weeks to 5 years old in Jefferson County (excluding Lakewood). SCHEDULE

The position works Monday : 7:45 AM-2:15PM, Tuesday- Friday : 7:30 AM – 4:00 PM, in-office at the Head Start Arvada location. There are no evenings or weekends required . Please note this is a year-round position.

COMPENSATION

  • H iring Range: $2 3.30-$25.12 USD Hourly
  • Full range- 20.62 - 25.78 - 30.93 USD Hourly
  • Compensation will be determined based on education and experience.
  • *Bilingual Spanish proficiency is an incredible asset to this team and will be offered a pay differential of $3,120 annually upon completion of communication skill test.

ESSENTIAL DUTIES

  • Sit at the front desk to greet visitors and manage secure building entry; answer and route phone calls to the appropriate individual . Communicate program information to current and potential Head Start families. Receives mail, documents, and packages. Orders supplies and requests maintenance.
  • Maintains positive relationships with Head Start families and staff members. Coordinates staff meetings and serves as meeting recorder. Maintains positive public image for department and division.
  • Performs administrative tasks in support of the department and division, including producing reports, creating and maintaining documents, data entry, and completing projects. Ensures all provided material is accurate . Prepares supplies and materials for staff usage.
  • Other duties and responsibilities as assigned.

QUALIFICATIONS

Minimum Qualifications

  • Education: High School Diploma or GED.
  • Experience: 1 year of work-related or volunteer-related experience.
  • Note an equivalent combination of education and experience is acceptable.
  • Must be bilingual in English and Spanish

Preferred Knowledge, Skills and Abilities

  • More than three (3) years of customer service experience is highly preferred
  • Experience with Microsoft Office/Microsoft 365
  • Strong time management and prioritization skills
  • Detail-oriented and experience with data entry and financial tracking
  • Positive Attitude
  • Being a reliable team player who is flexible/adaptable.
  • Basic math skills.
  • Excellent customer service skills.
  • Passionate about the education of young children

ADDITIONAL JOB INFORMATION

  • Must obtain physical examination and tuberculosis test at hire.
  • A valid Colorado driver’s license is required for positions that drive on County Business in either a county or personal vehicle within 30-days of hire or beginning to serve as an intern or volunteer for every position.
  • Willingness to occasionally travel to assigned Head Start Sites (Arvada, Wheat Ridge, and Lakewood).
