About The Role

AtkinsRéalis seeks an energetic and highly motivated self-starter to join our team in Ocoee, FL as a Project Assistant supporting the Florida’s Turnpike Enterprise (FTE) General Engineering Consultant (GEC) Program, working as an “extension of staff” in the client’s office in Ocoee, FL (metro Orlando area). The position will provide a full range of proficient administrative and project coordination support to a team of professionals and managers, demonstrating initiative and knowledge of the organization. Acts as liaison between manager and staff as well as between the staff and client.

How will you contribute to the team?

  • May compose correspondence on own initiative about administrative or routine matters, for supervisor's approval
  • Maintains and onboarding procedure and is responsible for onboarding new staff including coordination with home office, internal managers, and client personnel.
  • Coordinates staff training and maintains a training schedule for embedded staff and advises on current and future needs.
  • Ability to quickly learn new software programs.
  • Anticipates and prepares materials needed for conferences, travel, correspondence, appointments and meetings, informing appropriate personnel. May assist in preparing Power Point presentations.
  • Works with client and staff to schedule meetings.
  • Planning for and executing events such as lunches, celebrations, and outings.
  • Acts as the team’s representative on planning committees that support our client’s mission such as training and team building.
  • Maintains electronic device inventory for all embedded staff.
  • Manages fleet vehicles including scheduling and attending maintenance appointments, ensuring cleanliness of vehicles and in working order.
  • Reviews monthly utility invoices.
  • Performs word processing of letters, memos and other documents which are often of a confidential nature. May take and transcribe notes and meeting minutes
  • Prepares spreadsheets and other special, recurrent or one-time reports, summaries or replies to inquiries as instructed, selecting relevant information from a variety of sources such as reports, documents, correspondence, computer system and other offices.
  • Advises other administrative support staff of new procedures and coordinates activities and tasks with personnel at various offices.
  • Performs designated administrative tasks such as making photocopies, sends or receives email, and/or electronic communications to support department activities.
  • Communicates and interacts with internal and external clients in a professional and courteous manner.
  • Coordinates guest arrivals including directions to the FTE’s Headquarters and name badge notifications and pickup and dropoff at front desk.
  • ·Performs such other duties as the Supervisor may from time to time deem necessary.

W hat will you contribute: ·

  • High school diploma (or equivalent) plus six years related experience OR an associate’s degree in a related administrative field plus four years related experience is required.
  • Solid communication, interpersonal and organizational skills.
  • Good command of English grammar and spelling.
  • Strong Microsoft Office skills (Word, Excel, Outlook, TEAMS, Power Point, and Sharepoint).
  • Familiar with DocuSign and distributing document packages for approval signatures.
  • Experience in an engineering environment.

Additional information

Expected compensation range is between $28.85 - $33.65 depending on skills, experience, and geographical location.
