The Assistant Property Manager assists the Lead Property Managers in providing a first-class level of care for the members and their residences. To be successful in this position, the candidate must possess excellent interpersonal skills, a high level of attention to detail, and a genuine desire to serve in a high-end property management environment. Responsibilities

Property Operations & Resident Services

  • Assist Lead Property Managers with daily property operations and resident services.
  • Serve as a primary point of contact for homeowners, members, vendors, and contractors.
  • Maintain a professional and welcoming environment while delivering exceptional service.
  • Respond promptly to resident requests and concerns while ensuring timely resolution.
  • Reassure members and homeowners that concerns will be addressed efficiently and professionally.
  • Conduct walk-through inspections of residences to ensure cleanliness, functionality, and readiness.
  • Prepare homes and units for member arrivals, occupancy, and sales tours.
  • Complete opening and closing procedures according to operational standards.
  • Remain onsite throughout scheduled shifts to provide support for members and vendors .

Vendor & Contractor Coordination

  • Schedule vendors for maintenance, repairs, and service requests.
  • Communicate effectively with vendors regarding work orders, schedules, and property needs.
  • Follow up with vendors and contractors to ensure projects and repairs are completed satisfactorily and on time.
  • Coordinate emergency and routine maintenance services as needed.
  • Track service requests and maintain accurate records of completed work.

Member & Concierge Services

  • Greet members, homeowners, and guests in a professional, courteous manner.
  • Coordinate and communicate member requests, including:
  • Spa appointments
  • Fitness sessions and personal training
  • Transportation arrangements
  • Hiking activities
  • Dinner reservations/ Grocery Shopping Services
  • Perform grocery runs and other concierge-related services as required.
  • Coordinate newspaper and coffee deliveries.

Administrative Responsibilities

  • Draft and distribute daily operational summaries to keep staff and the Residential Services Manager informed.
  • Communicate professionally via email with members, vendors, contractors, and staff.
  • Maintain organized documentation and records related to property operations.
  • Support interdepartmental collaboration and aid other departments when approved by the Residential Services Manager.
  • Golf cart maintenance and coordination.
  • Assist with furniture and relocation boxes to accommodate member requests.
  • Support special projects and operational needs assigned.
  • Perform other duties necessary to ensure efficient residential operations and exceptional member service.
  • Other duties as assigned

Qualifications

  • Strong verbal and written communication skills.
  • High School Diploma or Equivalent
  • Excellent customer service and interpersonal abilities.
  • Ability to multitask effectively in a high-volume residential environment.
  • Strong problem-solving and decision-making skills.
  • Ability to remain calm, professional, and focused during stressful situations.
  • Strong attention to detail and organizational skills.
  • Ability to work independently and as part of a team.
  • Proficiency with email and basic computer applications.
  • Previous experience in property management, hospitality, residential services, customer service, or a related field preferred.
  • Experience coordinating vendors, contractors, or service providers preferred.

Additional Requirements

  • Valid driver's license required.
  • Must be at least 21 years of age due to responsibilities that may include purchasing alcohol for member services.
  • Positive attitude and professional demeanor.
  • Ability to provide exceptional service to members, guests, vendors, and team members.
  • Ability to work flexible hours, including evenings, weekends, holidays, and special events.
  • Ability to read, write, speak, and understand English; additional language skills are a plus.
  • Ability to work both indoors and outdoors in varied weather conditions.
  • Ability to stand, walk, and move continuously for extended periods, often exceeding eight (8) hours.
  • Ability to lift, carry, move, and transport items weighing up to 50 pounds.
  • Ability to move furniture, boxes, supplies, and other items as needed to support operational and member requests.
  • Ability to safely operate vehicles, golf carts, and equipment as required .

The Company’s good faith estimate of the rate expected to pay for this role is $25.00 hourly and is based on applicable and specialized experience and location.
