Job Description

Manages calendar for leaders, schedules meetings and appointments, and coordinates travel arrangements including lodging, transportation, and event registration. Answers and screens incoming calls, takes messages, routes calls appropriately, retrieves voice messages, and greets and assists visitors. Provides administrative and secretarial support including opening and disbursing mail, composing and editing correspondence, preparing expense reports, and maintaining files and records. Schedules and organizes meetings and events, orders provisions, prepares agendas, takes and transcribes meeting minutes, and distributes as appropriate. Prepares and updates presentations, spreadsheets, and other documents, ensuring accuracy and completeness. Assists with budget tracking, contracts, and other financial responsibilities. Serves as a committee member and leads various work teams if requested. Maintains department policies, procedures, and contracts. Manages office supplies and equipment, ensuring availability and proper functioning. Coordinates with other departments and external contacts to facilitate smooth operations and communication. Other duties as assigned. Knowledge, Skills, and Abilities:

  • Communicate and interact effectively and professionally with diverse populations, individually or as a team member, both in verbal and written communications
  • Excellent computer skills in word processing, spreadsheets, and databases, using programs such as Microsoft Outlook, Word, PowerPoint, Excel, Access, etc.
  • Maintain confidentiality, use discretion, and adhere to all corporate, legal, and regulatory guidelines
  • Self-motivated, with flexibility to multitask and prioritize in a stressful, fast-paced environment
  • Resolve issues with minimal direction or guidance, as well as work independently and as a team member
  • Professional attitude and conduct
  • Effectively utilize office equipment including fax, copier, printer, scanner, etc.
  • Meet ever-changing and multiple deadlines, managing day-to-day workflow
  • Detail-oriented, with strong proofreading and editing skills
  • Demonstrates problem-solving skills and the ability to adapt to new situations and responsibilities
  • Knowledge of health care operations and systems, with a preference for those familiar with performance improvement methodologies and change management
  • Ability to work well under time constraints and manage multiple projects simultaneously
  • Excellent analytical, organization, and problem-solving skills, with the ability to respond to time-sensitive issues effectively
  • Basic accounting, legal and/or contract administration knowledge, with a preference for those familiar with specific systems like AH/AHS SunPort
  • Organizational and multi-tasking skills, with knowledge of nursing care methods and procedures [Preferred]

Education:

  • Associate [Preferred]

Field of Study:

  • Technical degree
  • Combination of High School degree and related experience

Work Experience:

  • 4+ minimum experience as an administrative or executive assistant, secretary, or other higher level administrative/office support role [Required]
  • Related business or other administrative experience [Preferred]

Pay Range

$24.14 - $44.90
