Position Overview
The Benefits Administrator serves as the centralized, day-to-day owner of Stord's employee benefits programs, including leave administration, retirement, HSA, COBRA, LegalShield, pet insurance, and benefits billing reconciliation. This role ensures employees receive accurate, timely, and compliant benefits support, and serves as the primary point of contact for benefits inquiries, life events, and vendor escalations across Workday, ADP, and benefits platforms.
This is an individual-contributor role reporting to the Senior Payroll & Benefits Lead, created to consolidate benefits administration under a single dedicated owner rather than distributing it across the broader Payroll & Benefits team.
Key Responsibilities
Benefits Program Administration
- Administer leave of absence programs (FMLA and state leave programs) from intake through return-to-work
- Own full-cycle 401(k) administration, including eligibility, contributions, and compliance support
- Manage HSA administration, including plan integration and contribution reconciliation
- Administer COBRA continuation coverage and respond to employee inquiries
- Own LegalShield and pet insurance program administration
- Process Evidence of Insurability (EOI) requests and other life-event-driven benefit changes
Benefits Billing & Vendor Management
- Complete monthly benefits billing reconciliation, including vendor invoice submission (Coupa) and Finance coordination
- Manage day-to-day vendor relationships and monitor service delivery across benefit programs
- Support vendor implementations and renewals as needed
Employee Service & Life Events
- Serve as the primary point of contact for employee benefits inquiries, claims assistance, and vendor escalations
- Support employees through enrollments, qualifying life events, and benefit changes
- Maintain confidentiality and handle sensitive employee information with discretion
Compliance, Audits & Reporting
- Maintain compliance with ERISA, ACA, HIPAA, COBRA, IRS, and Department of Labor requirements, as well as applicable state leave laws
- Support audits, prepare compliance reporting, and maintain accurate benefits records
- Monitor benefit eligibility and premium deduction accuracy in partnership with the Payroll team
Open Enrollment Support
- Support Open Enrollment planning and execution alongside the Senior Payroll & Benefits Lead
- Assist with employee communications and data readiness during Open Enrollment
Documentation & Recordkeeping
- Maintain organized, accurate, and auditable records across all benefit programs
- Track recurring requests, exceptions, and escalations
- Support improvements to documentation, SOPs, checklists, and tracking tools
Additional Responsibilities
- Participate in special projects, process improvements, and cross-functional initiatives as needed
- Travel as needed for work-related assignments, including Open Enrollment events and onsite team meetings
- Perform other related duties as assigned to support evolving business and compliance needs
Required Skills & Competencies
- 2–4 years of progressive Benefits Administration experience
- Multi-state benefits administration experience
- Experience administering self-funded medical plans
- 401(k) administration experience
- Leave administration experience (FMLA and state leave programs)
- HRIS experience; Workday strongly preferred
- Vendor management experience
- Strong working knowledge of federal and state benefit compliance requirements
Preferred Experience
- CEBS or CBP certification
- Experience supporting high-growth organizations
- Acquisition and integration experience
- Exposure to Canadian and/or UK benefit programs
- Experience implementing leave management technology
- Experience with vendor invoicing or AP platforms (e.g., Coupa)
