Your New Role
As the Office & Facilities Manager, you will play a key role in creating a welcoming, high-performing and values-led workplace experience across Australian Ethical’s office locations. You will oversee the day-to-day running of the Sydney office, coordinate workplace requirements across Melbourne and Brisbane and partner closely with People & Culture to bring our employee experience and culture to life.
Key Responsibilities Include
- Manage the day-to-day operation of the Sydney office and coordinate practical office requirements for our Melbourne and Brisbane offices
- Act as the main point of contact for workplace-related enquiries, resolving facilities and office issues in a timely and professional manner
- Manage office supplies, kitchen stock, workplace equipment, mail, couriers, meeting room set-up and general office presentation
- Coordinate catering and logistics for company and team events, including Thursday Socials, town halls, company days and end-of-year events
- Partner with Executive Assistants, People & Culture and key stakeholders to support Executive Leadership Team and Board meeting requirements
- Support WHS, emergency preparedness, building management and security requirements, including fire warden and first aider coordination
- Manage vendors, service agreements, office budgets, purchasing, catering spend and expense reconciliation
- Maintain and evolve the office operating guide, ensuring key processes, contacts and workplace procedures remain current and easy to follow
- Contribute to workplace improvement projects that enhance office functionality and experience
- Champion sustainability, employee experience and inclusion initiatives that support Australian Ethical’s values and B Corp commitments

You are proactive, organised and service-oriented, with strong attention to detail and the ability to balance competing priorities across facilities, events, vendors, budgets and employee support. You bring a warm, friendly and engaging approach, particularly when welcoming new starters and conducting office inductions, and enjoy creating a workplace experience that supports a positive office environment.
If you have the following, we’d love to hear from you
- 1+ years’ experience providing high-quality support in a professional office environment
- Strong planning, organisation and time management skills, with the ability to manage multiple priorities and stakeholders
- Excellent written and verbal communication skills, with the confidence to keep stakeholders informed and escalate issues appropriately
- A strong customer service orientation, with discretion, confidentiality and integrity
- Experience coordinating workplace events, including logistics, vendors, communications and stakeholder expectations
- Experience supporting workplace projects, such as office improvements, reconfigurations or relocations
- Intermediate proficiency with Microsoft 365; experience with Monday.com or similar project management tools would be advantageous
- WHS and fire warden training, or willingness to complete relevant workplace safety and building requirements
- Genuine interest and commitment to environmental and ethical issues
