We are looking for a full-time Assistant Dispatcher.

*This position is located onsite and is not a remote or hybrid position.

Responsibilities / Job Description

  • Responsible for influencing positive employee morale and quality customer service;
  • Communicates with the Operations Manager all service-related issues and notifies the client (via email);
  • Maintain customer history files in database and file service orders;
  • Cultivates strong relationships with drivers and customers to reduce the stress that comes with last minute schedule changes.
  • Works closely with all departments to ensure a smooth operation
  • Alter sales orders when necessary
  • Organize the of loads/coordinates with the yard employee to get their loads built.
  • Pay attention to inventory to ensure orders are fulfilled
  • Review all of the day’s delivery orders and prioritize them in order, 1st out 2nd out AM, PM, set a plan for the day which includes what truck will accommodate each of the orders by delivery site access and load size. Assist in combining small loads together on one truck to save time and fuel. Follow the same procedures when the delivery involves a forklift.
  • Review, scrutinize and coordinate all incoming delivery orders in a timely manner and disperse copies to the proper departments (Hardware and Lumber)
  • Continually maintain the delivery logbook, entering all deliveries indicating the customer's name, delivery site and order number, keeping it updated as often as possible
  • Assist in getting drivers' equipment as needed (i.e. straps, corners, wench bar etc.)
  • Continually assign and dispatch delivery orders for drivers according to size of load and additional equipment needed in a timely manner.
  • Assist in answering all incoming calls from sales and customers relating to delivery time, delivery date, additions to orders and saving of time slots for future deliveries etc.
  • Maintain driver’s daily time and log sheets.
  • Make sure all delivery vehicles are properly maintained and in safe working condition.
  • Attend monthly Safety meeting.
  • Continually refer to the Dispatch function list for other daily and weekly tasks.
  • Learn computer and phone system functions necessary to do the above efficiently and accurately.
  • Other tasks as assigned by the Dispatcher, General Manager.

Knowledge, Skill, and Experience

Minimum Education (or substitute experience required)

  • High school diploma or equivalent;

Minimum experience required

  • Previous customer service and scheduling experience is a must

Knowledge

  • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
  • Knowledge of principles and processes for providing customers and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations and negotiation, and personnel information systems.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Knowledge of relevant equipment, policies, procedures, and strategies to promote effective local, state, or national security operations for the protection of people, data, property, and institutions.
  • Knowledge of laws, legal codes, court procedures, precedents, government regulations, executive orders, agency rules, and the democratic political process.
  • Knowledge of principles and methods for moving people or goods by air, rail, sea, or road, including the relative costs and benefits.

Skills required

  • Rapid and accurate typing with experience in data entry;
  • Outstanding organizational skills and multitasking abilities;
  • Able to work under pressure;
  • Intentional, active listener with exceptional communication skills;
  • Strong character, sound judgment, a level head, and critical thinking skills.
  • Strong organizational skills;
  • Knowledge of the service area is a plus;
  • Able to demonstrate professional phone manner;
  • Strong customer service and verbal communication skills;
  • Experience utilizing Microsoft Office programs, especially Outlook;
  • Experience with customer service, taking inbound and making outbound calls in a high-volume call center;
  • Advanced experience using PC software programs including but not limited to Microsoft Office (Word, Excel, etc.), Google Drive,
  • Able to work under pressure;
  • Strong character, sound judgment, a level head, and critical thinking skills;
  • Ability to handle multiple tasks simultaneously and maintain composure under pressure in a fast-paced environment while meeting deadlines;
  • Communicating effectively in writing as appropriate for the needs of the audience.
