About The Role
Area of Assignment: National Office/Phnom Penh
This intermediate specialist will manage ministry exposure and outcomes for each assigned trip in various in-person and/or virtual forms. The specialist further implements established strategies to highlight Compassion's ministry, deepen sponsor, donor, and ministry partner engagement, and increase acquisition of new sponsorships, invite additional giving and grow retention rates. At this career level, the incumbent generally works independently on assigned trips and assists with larger and/or more complex trips as needed. He or she may coach other specialists.
Responsibilities
- Acts as an advocate to raise the awareness of the needs of children. Abides by all behavioral expectations in Compassion’s Statement of Commitment to Child Protection and Code of Conduct. Reports any concerns of abuse, neglect or exploitation of children through Compassion’s internal reporting process and appropriately supports responses to incidents if they occur.
- Coordinates all aspects of execution for trips, coordinating, transportation, accommodations, communication, event resourcing and reporting. Arranges virtual connections for domestic events and coordinates speaker travel, alumni and other guests related to the domestic or international trip. Plans multiple trips per fiscal year to educate supporters and ministry partners while providing first-hand experience and exposure to Compassion's core ministry programs to ultimately increase giving and sponsorship of children. Trips may vary in type and could include international or domestic vision trips, individual custom visits, virtual connections, short-term mission trips, church engagement trips, or sponsor trips. Works with colleagues to provide creative and engaging trip experiences and follows new processes to promote greater efficiency.
- Communicates with Compassion staff in other locations/international offices to implement trips based on marketing and/or child program objectives. Works directly with fundraising groups, supporters and ministry partners to manage expectations and trip outcomes. Further monitors short and long-term business objectives by which to measure trip outcomes and maximize return on investment through international trips and supporter experience. Coordinates with legal to ensure licensing agreements are signed.
- Develops and manages budgets for each trip in accordance with established department budgets , monitoring expenses, and reporting actual trip variance as needed. Exercises sound judgment on trip financial decisions. Provides all financial information to Finance for tax classification for each traveler. Adds accounts to Salesforce, and ensures contracts for vendors are signed by the appropriate manager for signing permissions.
- Serves to protect both Compassion's interests as well as the life and property of participants as best as possible. Monitors and mitigates as best as possible any foreseeable risk for all trip participants traveling to the region. Coordinates with Security and Risk on hotels, itineraries, and safety and security for each trip. Ensures COVID protocols have been communicated to mitigate risk for participants. Process security checks and background checks for guests. Works with Risk and Legal on any concerns.
- Coordinates all group activities while on the trip. This may include, but is not limited to: team building, education & debriefing, safety & security, problem resolution, attention to medical needs and emergency/crisis response. Communicates directly with partner relationship, event staff, international staff and other departments within Compassion to ensure domestic and international trips run smoothly. Coordinates and books any recreational or programmatic elements desired. Works with VIP guests to ensure questions or concerns are addressed. Works with relationship managers, vendors to coordinate any special requests for AV, conference rooms, set up, decor, floral, and design.
- Provides insight and guidance regarding Compassion programs and trip outcomes. Supports revenue generating goals as established in trip objectives. Supports the work of Marketing and Child Program groups to ensure field exposure trip quality and effectiveness. Seeks to ensure that needs are being addressed and attendees receive an excellent trip experience.
- Coordinates both planning and administrative components of assigned trips and visits to provide a seamless end-to-end experience for travelers and sponsors engaged in any and all forms of trips, virtual and in-person. This responsibility includes building customized CVENT registration pages, processing visas and necessary paperwork, payment processes, trip bookings, as well as post trip evaluation and wrap-up.
- May coach and provide expertise to other professionals and support staff in the trips and visits discipline.

Qualifications
- Bachelor's degree in Tourism, Hospitality Management, Business Administration, Communications, or a related field.
- At least 2 years of relevant experience in travel, events, hospitality, project coordination, or a related role.
- Strong organizational, communication, and stakeholder management skills.
Experience coordinating travel, events, or logistics and managing multiple priorities.
- Proficient in Microsoft Office; experience with CRM or event management tools is an advantage.

Travel Requirements
- May be required to travel up to 20% of normal schedule
