About The Role
Purpose of the job: The Site Agent is an integral member of the project team responsible for delivering building development projects of varying size and complexity. The Site Agent is required to assist the project manager with administration duties as well as site preparation, on-site duties and closing out of projects.
Reporting to the: Project Manager
Key responsibilities but are not limited to
- Assist the project manager and coordinator with administrative duties for quotations, raising orders and processing invoices of all CTICC capital works projects.
- Gather information for tender purposes and complete checks on tender information received.
- Measuring, quantifying, and drafting bill of quantities for tender/RFQ processes.
- Assist the project manager with capital works projects’ pre-tender preparation.
- Assist the evaluation process of tenders for the purposes of appointing bidders.
- Identify projects risks and managing all risks.
- Assist the project manager with site handover.
- Setting up meetings, taking meeting minutes at project meetings and conducting site inspections of projects.
- Manage and supervise both administrative and technical tasks of CTICC project works and will be required for setting out on-site works.
- Prepare event schedules of CTICC events, forward planning of work and checking contractors are keeping to planned schedules and ensuring there are no disruptions to CTICC events and clients.
- Capture site data and information on site, draft progress reports, snagging of project works and assisting the project manager to close out projects.
- Assist in handing over projects and documentation on completion to other CTICC Facilities Operations divisions and CTICC departments.
- Know and understand the building utilization policies of CTICC, capture data on the CTICC buildings with regards to damages to the buildings, track and investigate the cause of damages, instruct all repairs needed, close out queries and report back to management.
- Assist in health, safety, and security matters for capital work projects but also for any building or event-based matters if required and report to management, but do not necessarily have to be qualified for this work.
- Establish, maintain, and update files, records, site images, finance reports, budget management reports, and progress reports.
- Good understanding of building regulations, project principles, and implementation.
- An organized and structured approach to be adopted for all tasks.
