Job Summary

Start Date: 01 January 2027 | Part-time (50% FTE)

Based at the gategroup Global Headquarters in Glattbrugg, the Executive Assistant CPO and President gatesolutions provides high-level, proactive and strategic administrative support to the Chief People Officer (CPO) and President gatesolutions. Acting as a trusted partner, the role ensures the effective coordination of executive priorities and enhances productivity. The position requires a high degree of professionalism, discretion and adaptability, managing complex schedules, global stakeholder interactions and business-critical activities in a fast-paced, international environment.

Main Duties and Responsibilities

Executive Coordination & Strategic Support

  • Manage complex executive calendars across multiple time zones and prioritize critical business activities.
  • Serve as a trusted partner and gatekeeper, facilitating effective communication and alignment with executive priorities.

Stakeholder Management & Governance

  • Coordinate global meetings, leadership forums, and governance activities.
  • Prepare agendas, presentations, and briefing materials.
  • Collaborate with senior stakeholders, global teams, and external partners to ensure alignment and timely execution of initiatives.

Operational Excellence & Administrative Management

  • Organize international travel arrangements, detailed itineraries, and expense management.
  • Handle confidential information with discretion and maintain accurate records and documentation.
  • Drive continuous improvement of administrative processes through digital tools and best practices.

Core Competencies and Requirements

Education

  • Completed commercial apprenticeship or equivalent qualification.

Work Experience

  • Minimum 3 years of experience as an Executive Assistant in a global, matrixed, or multinational organization.
  • Experience supporting multiple senior executives simultaneously.
  • Proven ability to work effectively in fast-paced international environments with complex stakeholder networks.

Technical and Language Skills

  • Advanced proficiency in Microsoft Office applications (Outlook, Excel, PowerPoint, Word) and collaboration tools such as Teams and SharePoint.
  • Strong digital literacy and experience with modern workplace technologies.
  • Fluency in English and German.
  • Additional language skills such as Spanish, French, or Italian are considered an advantage.
