Highly organized, proactive, and adaptable Business and Operations Specialist to support the day-to-day execution of business operations across multiple functions. This role is ideal for someone who enjoys variety, thrives in a fast-paced environment, and is energized by helping teams stay organized, efficient, and moving forward. The Business and Operations Specialist will play a critical role in keeping the organization running smoothly by supporting projects, processes, communication, scheduling, reporting, administrative functions, and cross-departmental initiatives. This individual will have visibility in many areas of the business and will serve as a key connector between teams. ESSENTIAL JOB FUNCTIONS:
Operational Support
- Assist with the coordination and execution of day-to-day business operations.
- Monitor workflows, identify process gaps, and recommend improvements.
- Maintain operational documentation, procedures, and internal resources.
- Support implementation and management of operational systems and tools.
Project Coordination
- Track deliverables, timelines, and action items across multiple projects.
- Coordinate meetings, prepare agendas, document notes, and follow up on next steps.
- Support cross-functional initiatives and ensure teams stay aligned and on schedule.
- Assist with project planning and execution from inception through completion.
Administrative & Organizational Management
- Manage calendars, schedules, and logistical arrangements as needed.
- Organize files, records, contracts, and operational documentation.
- Assist with vendor coordination, purchasing, and administrative processes.
- Support onboarding and offboarding activities when applicable.
Communication & Collaboration
- Serve as a point of contact between departments to facilitate communication and problemsolving.
- Prepare reports, presentations, and status updates for leadership and stakeholders.
- Coordinate internal communications and ensure information is distributed effectively.
- Building strong working relationships across all levels of the organization.
Data & Reporting
- Collect, organize, and maintain operational data.
- Create and update dashboards, reports, and tracking systems.
- Assist leadership with data analysis and reporting to support decision-making.
- Ensure accuracy and completeness of operational records.
Special Projects
- Take ownership of various operational initiatives as business needs evolve.
- Support leadership with ad hoc requests and strategic projects.
- Contribute to the development of scalable processes that support organizational growth.
OTHER JOB DUTIES
- Other duties as assigned.
EDUCATION, TRAINING AND EXPERIENCE
- 2+ years of experience in operations, project coordination, administrative support, or related role required.
- Proficiency with Microsoft Office, Google Workspace, and project management tools required.
- Experience working in a growing or fast-paced organization is preferred.
- Familiarity with CRM, project management, and operational software platforms is preferred.
- Experience supporting cross-functional teams and company-wide initiatives is preferred.
