Key Responsibilities

  • Assist with the planning, scheduling, and coordination of daily project activities, including short-term lookaheads and site logistics.
  • Support budget preparation, cost tracking, and basic financial reporting by monitoring cost codes, change impacts, and invoice status.
  • Communicate with consultants, subcontractors, and suppliers to maintain alignment on project priorities and support smooth project execution.
  • Coordinate site staffing as required, including sourcing and hiring general labor or temporary workers, arranging onboarding and site orientation, and confirming daily manpower needs with the foreman or superintendent.
  • Monitor material deliveries, procurement activities, and equipment requirements, and follow up with vendors to help avoid project delays.
  • Support materials purchasing by obtaining quotes, preparing purchase orders, tracking approvals, confirming lead times, and reconciling packing slips with delivered materials.
  • Maintain accurate and organized project documentation, including contracts, RFIs, submittals, permits, site instructions, meeting minutes, and other project records, ensuring timely distribution and proper filing.

Required Qualifications

  • Minimum of 2 to 3 years of experience with a general contractor, in building construction, construction site management, or a related field.
  • Able to prepare, interpret, and maintain project schedules and detailed step-by-step action plans.
  • Strong knowledge of cost estimating and quantity takeoffs.
  • Highly organized, with the ability to manage multiple tasks and priorities effectively under tight deadlines.
  • A collaborative team player with a strong teamwork mindset.
  • Excellent written and verbal communication skills, with experience communicating with clients.
  • Proficient in digital tools, including Microsoft Office Suite.
  • Experience with Microsoft Project scheduling software is considered an asset.
  • Self-motivated, detail-oriented, and proactive in identifying issues and improving processes.
