About the Role

Fund Administration is Citco’s core business, and our alternative asset and accounting service is one of the industry’s most respected. Our continuous investment in learning and technology solutions means our people are equipped to deliver a seamless client experience.

The Vice President, Client Services Japan is responsible for ensuring that real assets funds and real assets fund managers are provided with accurate and timely accounting services. In addition, the Vice President shall manage client relationships in line with the service level agreements, Citco procedures and best practices, applicable accounting standards while maintaining focus on training and development of staff as well as process improvements.

Job Duties in Brief

Client Service

  • Overall responsibility for client relationships
  • Negotiate Service Level Agreements (SLA) with clients;
  • Monitor service levels, open action items, prepare and present a quarterly Service Review pack;
  • Identify any drift in scope of services and assess impact on overall profitability;
  • Understand other Citco products and services and identify opportunities for Citco to meet client needs;
  • Coordinate with internal stakeholders from various lines of business and support teams;
  • Facilitate overview of Citco systems, processes and sample reports for new clients.

Operations

  • Assist in the coordination of new business on-boarding and work closely with the onboarding team;
  • Review TMK-GK-ISH closing documents and familiarise yourself with the key documents;
  • Calculate resource requirements and monitor variances between budget and actual;
  • Oversee the preparation of monthly/quarterly reporting package and working papers;
  • Oversee the preparation of capital calls, distributions, capital transfers and ensure they are in line with the key documents (if required)
  • Oversee the preparation of and review of estimated NAV on a monthly basis and actual NAV on a quarterly basis (if required);
  • Oversee the preparation and review the financial statements, notes to financial statements and the capital account statements;
  • Liaise with clients and assist them on accounting and administrative issues and relevant developments;
  • Ensure adherence to relevant accounting standards; JGAAP/IFRS/USGAAP
  • Coordinate, manage and monitor external audit process;
  • Perform regular client risk assessments, create action plans and monitor progress;
  • Participate in the payment process where required in terms of invoice authorization and review of payment releases
  • Review monthly accruals, billing and variance against budget;
  • Perform regular review of existing processes within the team and ensure adherence to the policies and procedures, best practices, SOC 1 controls;
  • Document and review existing processes, suggest and implement improvements;
  • Ensure that changes to systems, processes and procedures are implemented within the team;
  • Track, report and escalate issues in accordance with established risk frameworks.

Team Management

  • Oversee a team of 2-5 staff
  • Review the work of team members and provide feedback.
  • Monitor and track team performance in order to meet clients’ SLA and achieve financial targets.
  • Plan resources in line with business demands, participate in recruitment and selection process.
  • Identify training needs, lead, coach and develop staff.
  • Set goals, provide regular feedback and appraise employees within the team.
  • Implement training initiatives.

About You

  • Bachelor or Master Degree in Accounting, Finance, business-related area and/or studying for a professional accounting qualification (ie. CA, CPA or ACCA or equivalent).
  • Minimum 11 years’ experience in fund administration, accounting or audit (with at least 4 years of experience in Real Estate).
  • Knowledge of JGAAP is must. IFRS and/or US-GAAP is preferred.
  • Excellent communication skills and proficiency in Japanese and English (both verbal and written).
  • Strong supervisory skills with experience in managing and/or leading staff for 4 years.
  • Strong client relationship management skills with proven ability to provide high quality service and manage difficult relationships.
  • Project management skills and proven ability to effect change.
  • Ability to work under pressure in a highly demanding environment.
  • Proficient in Microsoft applications (Word, Excel, Powerpoint).
  • Proficient in Yardi is highly desirable (or other similar real estate sytems, eg. Yardi, Investran etc)
