About The Role

JOB TITLE: Senior Procurement Officer

REPORTS TO: General Manager

KEY RESPONSIBILITIES

  • Procurement Planning and Strategy Development
  • Develop, review, and implement procurement plans in alignment with company objectives.
  • Work closely with departmental heads to forecast procurement needs and ensure timely supply of required goods and services.
  • Analyze market trends and supplier data to identify opportunities for cost savings and efficiency improvements.
  • Sourcing and Supplier Management
  • Identify, assess, and pre-qualify suppliers to build a robust vendor base.
  • Manage supplier relationships to ensure high standards of service, delivery, and compliance.
  • Organize periodic supplier evaluations to monitor performance, competitiveness, and reliability.
  • Tendering and Contracting
  • Prepare bidding documents and manage competitive tendering processes in line with procurement guidelines.
  • Lead negotiation processes to secure favorable terms and conditions.
  • Draft and review supplier contracts, ensuring legal and policy compliance.
  • Purchasing and Order Management
  • Raise purchase requisitions and process purchase orders accurately and in a timely manner.
  • Track and follow up on deliveries to ensure completeness and timeliness.
  • Liaise with the finance team for prompt processing of payments to suppliers.
  • Inventory and Logistics Coordination
  • Work with the Administrative team to manage stock levels and reduce waste.
  • Coordinate with internal departments to ensure goods received are in line with expectations.
  • Ensure proper documentation and recording of goods received.
  • Compliance and Risk Management
  • Ensure all procurement activities comply with internal policies and external legal/regulatory requirements.
  • Monitor procurement risks and develop mitigation strategies.
  • Maintain up-to-date procurement records for audit and reporting purposes.
  • Reporting and Performance Monitoring
  • Generate periodic procurement reports for management decision-making.
  • Monitor procurement KPIs such as cost savings, supplier performance, and contract delivery timelines.
  • Identify and report challenges or inefficiencies in procurement processes.

QUALIFICATIONS AND EXPERIENCE

  • A minimum of a Bachelor's Degree in Procurement, Supply Chain Management, Business Administration, or a related field.
  • A relevant professional certification such as CIPS, CSCP, CA, Part 2 ACCA or equivalent is highly desirable.
  • Certification in Procurement or Supply Chain Management.
  • Minimum of 7 years post-qualification experience in procurement, preferably within a corporate setting.
  • Strong knowledge of procurement laws, regulations, and standards in Ghana.
  • Experience in ERP or e-procurement systems is a must.
