About The Role

Our client is a private equity-backed roofing and exteriors group in the United States, operating a family of regional brands across more than a dozen states. They restore homes and commercial properties after storm damage and work directly with insurance carriers on their customers’ behalf. They grow by acquisition, and every brand they bring in has to be stood up inside one shared AccuLynx environment: new locations, new users, new roles, new document templates, new automations.

That work is this role. You are not an AccuLynx user who also helps out with admin tasks. You are the administrator — the person who configures the platform at a structural level, keeps it clean as the business scales, and is the first person anyone in operations, sales, or the field comes to when AccuLynx is not behaving the way it should.

It takes a particular kind of person. Someone who can hold five open workstreams at once without dropping the detail on any of them. Someone who tests an automation properly before switching it on for hundreds of users. Someone whose Excel files are clean enough that a colleague can pick one up and use it without asking a single question. If you like owning a system rather than just working inside one, this is a seat where that ownership is visible every day.

Key Responsibilities

  • AccuLynx Administration — Primary Function
  • This is the core of the role. You own AccuLynx at the admin level.
  • Serve as the primary AccuLynx system administrator, responsible for all backend configuration, setup, and ongoing management of the platform
  • Set up and configure new users, roles, permissions, and access levels across the organization
  • Build and maintain workflows and automations within AccuLynx to improve operational efficiency and reduce manual work
  • Configure and manage contract templates, document setups, and SmarterDocs integrations within the platform
  • Manage location setup and configuration across all company offices and branches within AccuLynx
  • Maintain the integrity and organization of the AccuLynx environment, ensuring data is clean, structures are logical, and the system supports the business as it scales

Support & Issue Management

  • Serve as the internal AccuLynx support resource, triaging user issues, resolving configuration problems, and escalating to the vendor when necessary
  • Manage a support queue for AccuLynx-related requests from operations, sales, and field teams
  • Build and maintain user-facing documentation and training materials to support platform adoption and self-service
  • Proactively identify system gaps, user pain points, and opportunities to improve the AccuLynx setup

Workflow & Automation

  • Design, build, and maintain automated workflows within AccuLynx to streamline operations across the full project lifecycle
  • Identify repetitive manual processes and replace them with reliable automations that save time and reduce error
  • Test automations thoroughly before deployment and monitor their performance after launch
  • Collaborate with operations leadership to prioritize automation opportunities based on business impact

AI Tools & Productivity

  • Use AI tools strategically and fluently as part of the daily workflow, for documentation, process improvement, support response drafting, and system optimization
  • Stay current on AI capabilities relevant to CRM administration and operations, and bring new ideas to the team proactively
  • Apply AI to accelerate output without sacrificing accuracy or quality

Excel & Data Management

  • Build and maintain advanced Excel workbooks for tracking, reporting, and data analysis across system administration tasks
  • Use Excel to audit AccuLynx data, prepare import files, track user adoption, and produce operational reports
  • Work at an advanced Excel level daily — pivot tables, VLOOKUPs and XLOOKUPs, formulas, and structured data management

Multitasking & Operational Coordination

  • Manage multiple ongoing projects, support requests, and configuration tasks simultaneously without losing accuracy or momentum
  • Communicate clearly across internal teams about system changes, new features, and upcoming workflow updates
  • Coordinate with operations, sales, finance, and field teams to ensure the AccuLynx platform reflects how the business actually works
  • Demonstrated, hands-on proficiency in AccuLynx at the administrator level, not just as an end user. This is a hard requirement.
  • Experience with AccuLynx system setup including user configuration, role management, location management, contract setup, and workflow automation
  • Advanced Microsoft Excel skills — pivot tables, VLOOKUPs and XLOOKUPs, data cleaning, and reporting are daily expectations
  • Strong AI tool fluency — you use AI daily and effectively, not occasionally
  • Proven ability to manage multiple workstreams and priorities simultaneously without losing detail or accuracy
  • Strong written and verbal communication skills — you can explain technical configurations clearly to non-technical stakeholders
  • Self-directed and reliable in a fully remote environment

Preferred Qualifications

  • Experience with SmarterDocs for contract and document configuration within AccuLynx
  • Familiarity with Zoho Desk for support ticket management and customer service workflows
  • Experience with Smartsheet for project tracking, reporting, or operational management
  • Background in roofing, field service, construction, or insurance restoration industries
  • Experience supporting ERP platforms or managing cross-system data workflows
  • Background in CRM or platform administration for a multi-location or multi-branch organization

Primary platform

  • AccuLynx (administrator level) — users, roles, permissions, locations, job workflow, Automation Manager, contract and document templates
  • SmarterDocs for contract and document configuration

Data and reporting

  • Microsoft Excel at an advanced level — pivot tables, VLOOKUP / XLOOKUP, INDEX-MATCH, data cleaning, import file preparation
  • Smartsheet for project tracking and operational reporting (preferred)

Support and productivity

  • AI tools used daily for documentation, drafting, and process improvement
  • Zoho Desk for support ticket management (preferred)
  • Microsoft Teams and OneDrive for collaboration and file storage
  • Hubstaff for time tracking
