About The Role
Essential Job Duties
- Performs all essential job duties of secretary (see below)
- Utilizes communication and world-class customer service skills
- Demonstrates effective time management skills
- Increased awareness of both patient and organizational/staffing needs
- Prompt and accurate attention to detail to optimize patient outcomes
- Demonstrates professionalism through speech, attitude, behavior, and dress code
- Greets & assists people entering or calling department in a professional manner demonstrating compliance with organizational telephone etiquette policy, providing them with information and access to appropriate resources.
- Maintains EMR (Electronic Medical Record), including:
- Managing referral workqueue with thorough documentation in referral indicating call attempts with time stamp for all patient communication
- Prompt initiation of therapy evaluation upon receipt of referral
- Prompt scheduling treatment upon insurance authorization
- Monitoring insurance needs for additional visit authorization requests through a team philosophy with therapists & pre-cert team
- Ensuring that provider referral and signature needs are within compliance
- Scanning referrals, intake forms, and other items into EMR
- As well as all additional aspects of scheduling
- Maintains working relations with therapy staff and Manager that allows for effective communication.
- Performs general office duties including preparing intake forms for therapist use, ordering supplies, ordering print materials, and completing additional items necessary for departmental operations.
- Schedules therapy appointments to maximize productivity and efficiency—notifies Manager of opportunities for schedule optimization with use of low census, prevention of overtime, and necessity of additional staff to meet patient need
- Strives to maintain consistency of care when scheduling patients to improve overall patient outcomes
- Works closely with Pre-certification and Scheduling department for insurance needs.
- Works closely with Workman Comp agencies to acquire authorization for approval of patient evaluation and treatments
- Completes other duties and special projects as assigned from Manager or Director
Secondary Job Duties
- Assists with entering Engineering Work Orders.
- Maintains & updates information to meet Physical Medicine Outpatient Strategic Goals
- Assists in orienting/training staff members.
- Assists with departmental Performance Improvement Program.
- Assists in keeping department clean and ready for patient treatment.
Job Specifications
- Education: High School graduate or equivalent
- Experience: Preferred, but not required.
