About The Role

The Senior Administrative Assistant provides support to ensure efficient operation of the Sales department. They perform various administrative tasks, including making travel arrangements, overseeing logistics of internal meetings with customers and sales team, answering phones, and maintaining office supplies. Strong organizational and communication skills are essential for this role, as well as a proactive individual that addresses needs as they arise.

Essential Responsibilities

  • Duties include general administrative and project-based work while representing a professional company image through in-person, electronic and phone interactions. Administrative duties include scanning, filing, directing phone calls, etc.
  • Make travel arrangements for the sales team, which include airline, hotel and rental car.
  • Administrator for AMEX accounts/cards for sales team
  • Manage sales collateral, such as tradeshow giveaways and supplies
  • Order and manage office supplies
  • Create and modify documents with MS Office tools
  • Coordinate and maintain cell phone list and company credit card numbers
  • Set-up and coordinate meeting spaces, including catering and all logistics
  • Arrange travel for company visitors
  • Serve as a registered Notary for State of Texas
  • Maintain records of office/cubicle layout as well as assist with office/cubicle moves by working with IT to move phones, computers, etc.
  • Coordinate with maintenance for matters on the sales floor, bathroom, kitchen, break room, etc.
  • Maintain records associated with third party sales reps, including contracts and processing payment
  • Liaison with IT for needs, such as hardware requests, network access, etc.
  • Liaison with Powell insurance department for annual insurance renewals/Certificates of insurance
  • Assist with order entry
  • Run reports
  • Ability to organize department events
  • Other duties as required

Minimum Qualifications

  • *High School Diploma or equivalent
  • *3 or more years previous administrative support

Preferred Qualifications

  • Experience making travel arrangements on behalf of others.
  • Experience managing logistics of internal meetings.

  • Computer skills. Excel, Outlook, Word, MS Office Suite, PowerPoint
  • Professional verbal and written communication skills.
  • Organized and a high level of attention to detail.

Working & Environmental Conditions

Working Conditions

  • Temperature controlled working environment. Some outside activities may be required.
  • This position may travel out-of-town to attend training and meetings.
  • Typical office environment: may experience minor discomfort from extensive use of a computer display and keyboard; travel between buildings on campus and between campuses.

Physical Requirements

  • Maintaining body equilibrium and agility to prevent falling when walking, standing, crouching, ascending or descending stairs.
  • Sitting, standing and walking for long periods of time.
  • Typing, punching or applying pressure to an object with fingers and palm.
