About The Role

The Deposit Accounting Specialist is responsible for the timely and accurate processing of deposit accounting for former residents across FirstKey Homes' national portfolio. This role performs final move-out ledger audits, validates charges and adjustments, and ensures security deposit dispositions comply with company policies, state regulations, and statutory deadlines. Working closely with District Operations, Construction, Utilities, Central Operations, Accounting, and other business partners, this position resolves account discrepancies, and ensures consistent application of move-out charge policies. The ideal candidate has strong property management experience, sound judgment, attention to detail, and expertise in applying landlord-tenant requirements across multiple states.

Own the end-to-end deposit accounting process for former resident accounts, ensuring timely completion and compliance with all applicable state, local, and company requirements.

Conduct final move-out ledger audits by reviewing all charges, credits, concessions, utility balances, deposits, and account activity for accuracy and completeness.

Research, validate, and process account adjustments, corrections, and financial transactions necessary to ensure accurate final account disposition.

Review move-in condition reports, move-out inspections, photographs, scopes of work, invoices, and supporting documentation to assess resident responsibility and determine appropriate damage charges in accordance with FirstKey Homes policies.

Partner with District Operations, Construction, Utilities, Central Operations, Accounting, and other cross-functional teams to resolve discrepancies, obtain supporting documentation, and ensure accurate resident charge assessments.

Interpret and apply landlord-tenant laws, security deposit regulations, and statutory notice requirements across multiple states to ensure regulatory compliance throughout the deposit accounting process.

Maintain comprehensive and audit-ready documentation within Yardi and company systems to support financial transactions, resident charges, and compliance requirements.

Consistently meet established service level agreements, productivity standards, accuracy expectations, and regulatory deadlines while managing a high-volume workload.

Serve as a subject matter expert on deposit accounting, move-out charge assessments, company policies, and applicable regulatory requirements, providing guidance and support to internal business partners.

Demonstrate knowledge of and remain compliant with all FirstKey Homes policies, procedures, Fair Housing requirements, and applicable federal, state, and local regulations.

2-5 years of experience in residential property management, lease administration, resident accounting, or a related operational support role.

Active real estate license preferred.

Working knowledge of residential leasing, resident ledgers, move-in/move-out processes, security deposits, and landlord-tenant regulations.

Experience researching account discrepancies, auditing resident charges, and processing account adjustments with a high degree of accuracy.

Proficiency in Yardi and Microsoft Office applications, including Excel; experience utilizing reporting and dashboard tools preferred.

Ability to interpret and apply company policies, operational procedures, and state-specific regulatory requirements.

Strong analytical skills with the ability to review financial records, supporting documentation, and property management data to identify issues and drive resolutions.

Experience working within a centralized or multi-market property management environment preferred.

Primarily working indoors, away from the threat of any weather conditions

May sit or stand for several hours at a time and climb up and down stairs multiple times each day

Must be able to travel throughout applicable market using personal vehicle
