About The Role

The Administrative Coordinator supports the effective daily operation of academic-year, extended-learning, and summer programming and works with the administrative team to maintain compliance with University, local, state, and program requirements and serves as a primary point of coordination among families, staff, students, and community/campus partners.

The position may provide guidance, training, scheduling, and operational oversight to student employees, temporary employees, extended-learning staff, volunteers, and/or other assigned personnel.

The Early Learning & Research Center, formerly known as the Barbara K. Lipman Early Learning & Research Center has been NAEYC accredited since 1988.

This is a 12-month staff position at the University of Memphis with full benefits.

Leadership & Compliance

  • Support the Director and administrative team in the daily leadership, coordination, and staffing of the Early Learning & Research Center (ELRC) as a university laboratory and demonstration school. Provide administrative and operational support across academic-year, extended-learning, enrichment, special-event, and summer-camp programs.
  • Assist in maintaining compliance with University of Memphis policies and procedures and applicable local, state, licensing, accreditation, and program requirements.
  • Provide guidance, training, scheduling, and operational oversight to student employees, temporary employees, extended-learning staff, volunteers, and other assigned personnel.
  • Support the recruitment, onboarding, scheduling, recordkeeping, and ongoing coordination of faculty, staff, graduate assistants, volunteers, and University practicum students.

School Culture & Student Support

  • Serve as a primary point of contact and coordination for parents, families, children, staff, students, and community and campus partners.
  • Communicate with and support ELRC families by responding to inquiries, sharing program information, assisting with family needs, and promoting a welcoming, responsive, and inclusive school environment.
  • Manage recruitment, enrollment, waitlists, and enrollment-related communication for academic-year, extended-learning, and summer programs.
  • Provide administrative support for school enrichment opportunities, special events, and summer-camp programming in partnership with ELRC and program staff.

Operational Oversight

  • Oversee administrative functions of the ELRC, including budget tracking, purchasing, supplies, invoicing, tuition processing, and related financial and data-management activities.
  • Coordinate daily operational needs across academic-year, extended-learning, enrichment, special-event, and summer programming, including schedules, staffing coverage, communications, materials, and logistics.
  • Monitor buildings, grounds, classrooms, and equipment to support safety, security, cleanliness, organization, and operational readiness. Coordinate building-management requests, maintenance concerns, and facilities-related needs with appropriate University departments.
  • Assist with the development and maintenance of administrative procedures, calendars, schedules, operational systems, and documentation that support efficient program delivery.
  • Performs other duties as assigned.

Bachelor’s degree in an education-related field and one (1) year of appropriate experience with early childhood education, specifically working with children ages 0-5 within an established early childhood program.
