IV. JOB SUMMARY We are seeking a dedicated and hands-on Facilities Assistant to join our team. In this role, you will serve as the primary support for electrical maintenance while also performing general multi-trade facility upkeep, preventive maintenance, and repairs. You will ensure that our office facilities, building systems, and equipment remain safe, fully operational, and compliant with all health and safety standards. Key Responsibilities Inspection & Maintenance • Daily Facility Inspections: Conduct routine checks of office facilities, building systems, and equipment to identify potential maintenance, operational, and safety concerns. • Electrical Support: Act as the primary support for electrical maintenance—including inspection, troubleshooting, repair, and preventive maintenance of electrical systems, lighting, power outlets, and circuit breakers within the limits of competency and safety guidelines. • General Multi-Trade Repairs: Perform basic plumbing, carpentry, painting, HVAC, and mechanical maintenance, while offering specialized assistance for complex electrical repairs and upgrades. • Furniture & Equipment Handling: Install, assemble, relocate, and maintain office furniture, fixtures, appliances, and electrical devices. • Work Order Execution: Respond promptly to facility maintenance requests and work orders in alignment with established service level targets (SLAs). Systems Monitoring & Safety • Utility Logging: Record and monitor daily, weekly, and monthly utility and equipment readings (e.g., electricity, water, UPS, generators, and HVAC systems), reporting any abnormal conditions immediately. • System Reliability: Assist in the inspection, testing, and preventive maintenance of electrical distribution systems, lighting controls, UPS, generators, Fire Detection and Alarm Systems (FDAS), and other critical building infrastructure. • Contractor Coordination: Help identify electrical faults and coordinate major repairs or specialized projects with accredited third-party contractors and service providers. • Hazard Mitigation: Identify potential safety hazards—especially electrical risks—and recommend proactive corrective actions to maintain a safe workspace. • Emergency Preparedness: Participate actively in emergency response activities, safety drills, and facility-related incident management. Documentation & Inventory Management • Record Keeping: Maintain accurate logs of maintenance activities, inspection checklists, preventive maintenance schedules, repair histories, and equipment data. • Document Management: Ensure the proper filing, safekeeping, and organization of engineering documents, manuals, warranties, and regulatory permits. • Inventory Control: Monitor the condition of electrical tools, equipment, consumables, and spare parts, conducting routine monthly inventories. • Procurement Support: Assist in sourcing electrical and maintenance materials, gathering quotations, requesting supplies, and tracking stock levels. • Technical Compliance: Read and interpret electrical diagrams, equipment manuals, technical drawings, and standard operating procedures. Logistics, Renovations & General Duties • Projects & Fit-outs: Provide hands-on assistance during office renovations, fit-out projects, equipment installations, and workplace improvement initiatives, focusing heavily on electrical components. • Logistics & Relocation: Assist with office logistics, including the delivery, transfer, setup, rearrangement, cleaning, and disposal of office furniture, equipment, and materials. • Messengerial Support: Carry out facilities-related messengerial duties, such as delivering and collecting documents, permits, materials, and supplies from internal departments, vendors, government agencies, and service providers. • Housekeeping: Maintain high standards of cleanliness, organization, and good housekeeping across all maintenance work areas, workshops, storage rooms, and engineering spaces. • Policy Compliance: Strictly adhere to all company policies, occupational health and safety (OHS) regulations, electrical safety standards, and local statutory requirements. • Additional Duties: Perform other related facilities tasks as assigned by the Head of Facilities and Infrastructure or immediate supervisor. Qualifications & Requirements • Experience: Proven experience in facilities management, building maintenance, or general trade work, with a strong, demonstrated focus on electrical systems and troubleshooting. • Technical Skills: Basic to intermediate proficiency in electrical work, plumbing, carpentry, painting, HVAC systems, and reading technical diagrams or blueprints. • Safety Awareness: Sound knowledge of occupational health and safety guidelines, electrical safety standards, and emergency response procedures. • Organizational Skills: Strong attention to detail with the ability to manage documentation, track inventory, and prioritize multiple work orders efficiently. • Interpersonal Skills: Reliable, proactive team player with strong communication skills and the ability to coordinate effectively with internal staff and external contractors.
