About The Role
The Executive Assistant serves as a trusted partner to the 2X leadership team (2LT), ensuring leaders can focus their time on the highest-value strategic priorities. This individual will manage complex schedules, coordinate internal and external communications, support leadership meetings and events, facilitate cross-functional collaboration, and handle a wide range of administrative and operational responsibilities. The ideal candidate is highly organized, proactive, resourceful, detail-oriented, and thrives in a fast-paced, entrepreneurial environment. This role requires exceptional judgment, discretion, professionalism, and the ability to anticipate needs before they arise. Reporting Manager Courtney Baker, Chief of Staff Key Stakeholders: • Other 2LT Members as defined by Reporting Manager Location and Logistics: • Position resided within 2X subsidiary entity, 2X Philippines, but supporting 2X globally • Working on the US shift (8:00 am ET through 5:00 pm ET), with expectations to respond to communications as feasible outside of working hours. • Hybrid work from home arrangement, with optional in-office time Key Responsibilities Executive Support • Manage complex calendars for multiple executives, balancing priorities and time. • Coordinate internal and external meetings across multiple time zones and geographies. • Prepare executives for meetings by assembling agendas, briefing materials, presentations, and supporting documents. • Manage expense reporting, reimbursements, and other administrative activities. • Serve as a gatekeeper and point of contact for executive communications. • Handle miscellaneous tasks as assigned by executive stakeholders. Leadership Team Operations • Coordinate recurring leadership meetings, business reviews, board-related meetings, and strategic planning sessions. • Prepare meeting agendas, document decisions, track action items, and follow up on deliverables. • Assist in the development and organization of executive presentations, reports, and communications. • Help drive accountability across leadership initiatives by tracking priorities and ensuring follow-through. Communication & Coordination • Facilitate communication between executives, employees, clients, partners, investors, and other stakeholders. • Draft, proofread, and format correspondence, presentations, announcements, and other business materials. • Support company-wide communications and leadership updates as needed. • Maintain professionalism and confidentiality in all interactions. Special Projects & Strategic Support to Chief of Staff • Support key strategic initiatives, offsites, company events, and other miscellaneous projects. • Conduct research and gather information to support executive decision-making. • Identify opportunities to improve administrative processes and increase organizational efficiency. Event & Travel Coordination • Ensure seamless execution of executive travel - arrange domestic and international travel, including flights, accommodations, transportation, and itineraries. • Coordinate executive offsites, leadership retreats, customer events, and company meetings. • Manage logistics for internal and external events, including venue selection, travel arrangements, scheduling, and budget/expense administration. Qualifications Required • Experience supporting senior executives, C-suite leaders, or executive leadership teams. • Exceptional organizational and project management skills. • Outstanding written and verbal communication abilities. • Strong proficiency with Microsoft Office, Google Workspace, Zoom, Slack, and modern productivity tools. • Ability to manage multiple priorities simultaneously while maintaining exceptional attention to detail. • Demonstrated ability to handle sensitive and confidential information with discretion. • Strong problem-solving skills and a proactive, ownership-oriented mindset. Preferred • Experience supporting executives in a high-growth technology, professional services, consulting, SaaS, or private-equity-backed company. • Experience coordinating executive travel across multiple countries and time zones. • Familiarity with CRM, project management, and collaboration platforms. • Experience supporting board meetings, investor relations activities, or other strategic initiatives.
