About The Role

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is: A Real Estate agency in Australia purely focused in property management.

Role Overview: The Virtual Assistant / BDM Assistant will provide administrative and business development support to the Business Development Manager. This role focuses on lead generation and support, data management, follow-ups, and coordination tasks to help grow and maintain the property management portfolio. This is a delivery and support role, not a sales-closer position.

Key Responsibilities

Business Development Support

  • Assist the BDM with lead generation from databases, tracking, follow-ups, and CRM updates
  • Prepare and maintain prospect lists (property owners, landlords, referrals)
  • Support outbound and inbound inquiries via email and CRM
  • Help coordinate meetings, calls, and follow-ups with potential clients
  • Prepare basic reports on leads, conversions, and outreach activities

Administrative & Operations Support

  • Manage and update databases, spreadsheets, and CRM systems
  • Assist with document preparation (proposals, agreements, presentations)
  • Maintain task lists, pipelines, and internal trackers
  • Coordinate calendars, reminders, and deadlines for the BDM
  • Support ad-hoc administrative tasks related to property management operations

Requirements

  • Previous experience as a Virtual Assistant, Administrative Assistant, or BDM Assistant
  • Strong organizational and time management skills
  • Excellent written and verbal English communication skills
  • Experience using Microsoft 365 (Word, Excel, Outlook)
  • Comfortable working with CRMs, spreadsheets, and task management tools
  • Ability to work independently and follow processes
  • High attention to detail and confidentiality

Nice to Have

  • Experience in property management or Australian Real Estate
  • Familiarity with CRMs used in real estate/property management
  • Familiarity with Databases used in real estate such as RP Data & ID4Me
  • Experience supporting sales or business development teams
  • Understanding of lead pipelines and client onboarding processes
