Finance and Administration Assistant (Internal)

About The Role
The Finance and Admin Assistant reports directly to the Project manager. The Finance and Admin Assistant will assist with budget preparation, processing of invoices, supporting in financial report preparations, stores management and other administrative tasks as requested. Specific duties include:-
Essential Duties
Finance Responsibilities
- Assist in preparing budgets and monitoring expenditures
- Process invoices, payments, and expense claims
- Prepare cash advance requests
- Maintain accurate financial records and filing systems
- Support preparation of financial reports (monthly, quarterly, annual)
- Perform basic bookkeeping tasks (data entry, reconciliations, petty cash management)
- Track and monitor project or departmental budgets
- Assist with audits and ensure compliance with financial policies and procedures
Administrative responsibilities
- Assisting the HR Office with recruitment and interviews; specifically, sorting of applications for shortlisting, printing applications, arranging interview room, assisting candidates with interview forms and directing candidates to interview panel.
- Assist in management of stores by ensuring that all requests are done in line with the set procedures and ensuring that replenishment is done in a timely manner.
- Manage office supplies and place orders as needed to ensure inventory is maintained and ensure that all requests are done in line with the set procedures
- Assisting with the filing and archiving of documents when requested
- Maintain clean and organized office common areas including meeting rooms and kitchen
- Assist in management of stores by ensuring that all requests are done in line with the set procedures and ensuring that replenishment is done in a timely manner.
- Carrying out any other duties as assigned from time to time and fulfilling one off task as requested
Requirements
- A Diploma in Business Administration or any related qualification
- At least two years’ experience as an Administration Assistant
- Ability to meet deadlines with strong attention to consistency, detail, and quality.
- Excellent communications skills
- Excellent interpersonal skills, mature, disciplined, loyal, and show initiative with an ability to work independently and within a team
