Job Description

We're looking for a detail-oriented and organized Senior Document Controller to join our dynamic team in Abu Dhabi, United Arab Emirates. In this pivotal role, you will oversee document control operations on large-scale and mega projects, ensuring seamless coordination between project leads and discipline leads. You will work with a high degree of autonomy on routine tasks while maintaining the highest standards of accuracy, transparency, and efficiency. Participate in document control kick-off meetings and engage in project-wide document control planning initiatives

Ensure comprehensive understanding of document control processes and platforms across the project team, providing training and support as needed

Develop and maintain Master Document Registers tailored to specific project requirements

Create and implement Project Document Control Guidelines to standardize processes and ensure compliance

Administer and maintain the Project Contact List with accuracy and attention to detail

Identify, spot, and correct non-conformities in documentation, ensuring adherence to established standards

Track incoming and outgoing information, managing distribution to appropriate stakeholders

Serve as the primary point of contact for file naming conventions, document control standards, and related inquiries

Formally issue deliverables, including drawings, documents, and models, with meticulous attention to detail

Register, classify, save, and distribute documentation using established protocols and systems

Generate regular reports for management and project teams, highlighting project status and document metrics

Issue reports on late or unissued documents, identifying trends and recommending corrective actions

Collaborate with team members and end-users to troubleshoot document control challenges and implement solutions

Contribute effectively to team goals while maintaining a supportive and inclusive work environment

Qualifications

**Required Skills and Experience:**

Bachelor's Degree in Engineering, Project Management, or a related field

Proficient keyboard skills and comprehensive knowledge of MS Windows operating systems

Advanced proficiency with word processing, spreadsheet, and database software

Demonstrated expertise with Electronic Document Management Systems (EDMS) and Document and Material Control Systems (DMCS), including platforms such as Aconex, Oracle, BIM 360, and SharePoint

Strong knowledge of identifying, handling, and managing drawings and technical documents

Solid understanding of Quality Assurance Program procedures and compliance requirements

Proven experience working on large-scale and mega projects with document control responsibilities

Excellent written and verbal communication skills with the ability to liaise effectively with diverse stakeholders

Strong analytical and problem-solving abilities with meticulous attention to detail

Ability to work independently on routine tasks while collaborating effectively within a team environment

**Preferred Qualifications:**

Certification in document control, project management, or related disciplines

Experience with Building Information Modeling (BIM) and associated documentation standards

Familiarity with UAE-specific regulatory and compliance requirements for project documentation

Previous experience in the construction, engineering, or infrastructure sectors

Demonstrated ability to develop and implement process improvements in document control operations
