Executive Assistant

About The Role
RESPONSIBILITIES
- You support the Regional Director and their regional Business Development teams by managing schedules, calendars, global travel arrangements and completing other administrative tasks so they can focus on generating more business and revenue.
- You are collaborative and genuinely enjoy people, which will help you collaborate with internal stakeholders and counterparts to ensure the business operates smoothly and information flows between teams.
- Daily you will perform a variety of administrative assignments requiring a high level of competency in office procedures.
- Manage complex calendars with an understanding of which activities are most appropriate for the allocation of Regional Director and responsibilities.
- Prepare and reconcile expense reports.
- Manage and coordinate meeting arrangements and travel plans for both domestic and global travel.
- Engage with your counterparts at external partners to maintain another line of communication between Xsolla and their partners, and to better assist with scheduling business related activities.
- Compose emails, letters, and other correspondence; handle the highest level of confidential information.
- Assist with a variety of special projects and complex assignments as needed, exercising frequent independent judgment, initiative, and tact.
- Coordinate special events as needed.
- Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
- Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
- Help with events such as holiday parties and events when traveling such as dinners, conferences, etc.
Requirements
- Bachelor’s degree or equivalent practical experience.
- 1–2 years of administrative support experience, ideally in a fast-paced corporate or sales-driven environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools (e.g., Google Calendar, Outlook).
- Strong organisational and time‑management skills, with the ability to prioritise multiple tasks.
- Excellent written and verbal communication skills, including professional email and correspondence drafting.
- Demonstrated ability to handle confidential and sensitive information with discretion.
- Experience coordinating domestic and international travel arrangements and processing expense reports.
- Ability to work both independently and collaboratively with internal and external stakeholders.
- Attention to detail and problem‑solving mindset.
Flexibility to adapt to changing schedules and support special events as needed.
