About The Role

Role Overview

We are seeking a reliable and detail-oriented Admin & Office Coordinator to support our day-to-day operations and ensure the smooth running of our offices. In this hands-on role, you will be responsible for general office management, administrative support, and basic finance tasks such as invoice processing.

You will work closely with internal teams to keep operations organized, support communication, and maintain an efficient and well-functioning workplace.

This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a structured environment. The role is fully onsite: distributed between our Wollerau and Zurich office.

Responsibilities

  • Manage daily office operations, ensuring a well-organized and efficient workplace
  • Handle incoming and outgoing correspondence, including emails and phone inquiries
  • Support basic calendar coordination and scheduling for internal meetings
  • Process invoices, track expenses, and support basic financial administration
  • Maintain organized records, documentation, and filing systems
  • Coordinate office supplies, facilities, and vendor relationships
  • Assist with onboarding logistics for new employees (workspace setup, materials, etc.)
  • Support the organization of internal events such as team meetings and small office gatherings
  • Act as a central point of contact for administrative and operational matters

Requirements

  • 2–5 years of experience in an administrative, office management, or assistant role
  • Comfortable handling routine administrative and financial tasks (e.g., invoices)
  • Strong organizational skills with the ability to handle multiple tasks efficiently
  • Fluent written and verbal communication skills in English and German
  • High level of reliability, attention to detail, and structure
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint) or equivalent tools
  • Practical problem-solving mindset and hands-on attitude
